Fleet Coordinator
Seneri Logistics, LLCJob Overview We are seeking a dependable, organized, and proactive Fleet Coordinator to oversee the day-to-day management of our delivery vehicle fleet. This role is responsible for maintaining fleet readiness, conducting inspections, coordinating repairs and maintenance, ensuring compliance with company safety and operational standards, and serving as the primary liaison between the company and service providers. The ideal candidate is mechanically inclined, highly organized, capable of managing multiple priorities, and committed to keeping vehicles safe, compliant, and operational. This role requires strong communication skills, attention to detail, and the ability to work independently while coordinating with drivers, management, vendors, and repair facilities. Duties Fleet Management & Vehicle Readiness Conduct daily inspections of company vehicles to identify damage, safety concerns, and maintenance needs Monitor fleet readiness and ensure vehicles are available for daily operations Track preventive maintenance schedules and service intervals Maintain accurate fleet records, inspection reports, repair logs, and maintenance documentation Monitor vehicle registration, licensing, and compliance requirements Track fuel-related issues, warning lights, and operational concerns reported by drivers Perform vehicle audits to ensure compliance with company standards Monitor vehicle cleanliness, organization, and overall condition Vehicle Repairs & Maintenance Perform minor vehicle repairs and basic maintenance when appropriate Coordinate repairs with repair shops, dealerships, body shops, and other service providers Schedule maintenance appointments and monitor repair progress Verify completed repairs and ensure vehicles meet operational standards before returning to service Obtain repair estimates and assist with vendor selection when needed Monitor repair costs and identify opportunities to reduce fleet expenses Coordinate tire replacement, battery replacement, oil changes, and routine maintenance services Respond to vehicle breakdowns and assist with repair coordination as needed Vendor & Fleet Service Coordination Serve as the primary liaison with repair facilities, dealerships, tire vendors, towing providers, and maintenance vendors Coordinate vehicle drop-off and pick-up schedules Follow up on outstanding repairs and maintenance issues Review repair recommendations and communicate findings to management Maintain positive working relationships with vendors and suppliers Communicate repair status updates to operations and leadership teams Review vendor invoices for accuracy and assist with repair authorization requests Vehicle Damage & Compliance Investigate and document vehicle damage reports Ensure vehicle damages are reported accurately and timely Conduct damage inspections and photograph vehicle conditions Assist with insurance claims, repair coordination, and supporting documentation Monitor fleet compliance with company safety standards Assist with accident investigations and fleet-related corrective actions Track recurring vehicle issues and identify trends requiring corrective action Fleet Compliance & Operational Support Manage and audit PAVE inspections to ensure compliance and completion Conduct routine audits of vehicle inspection records Utilize UVeye reports to assist with damage tracking and vehicle condition monitoring Monitor fuel reporting and fuel compliance requirements Assist with fleet compliance initiatives, reporting requirements, and operational audits Ensure required fleet documentation remains current and accessible Support operational leadership in maintaining a safe and compliant fleet Administrative Responsibilities Maintain spreadsheets, tracking logs, and fleet management records Prepare reports regarding vehicle availability, maintenance status, repair costs, and fleet performance Monitor deadlines and follow up on outstanding fleet-related items Assist management with fleet planning and operati…
