This is a 7 month maternity leave coverage April  1st - October 31st

 

Key Responsibilities:

 

Financial Management:

  • Assist in the preparation and maintenance of financial records, including invoicing, credit card reconciliation, purchase orders, expense reports, and budget tracking.
  • Work closely with the Controller to manage accounts payable/receivable, client invoicing, and payment processing.
  • Support financial reporting and analysis by providing accurate data and generating reports.

Operations Support:

  • Manage office supplies, equipment, and facilities to ensure a smooth and productive work environment.
  • Assist in planning and executing agency events, meetings, and presentations.
  • Handle administrative tasks like scheduling, travel arrangements, IT requests, and new platform launches.
  • Identify opportunities to optimize costs and improve operational efficiencies.

Vendor Management:

  • Maintain relationships with vendors and suppliers, ensuring proper rates and markups are followed.
  • Support the PM team by gathering vendor quotes and issuing purchase orders.
  • Review and verify vendor invoices for accuracy and compliance with contracts.

Compliance and Documentation:

  • Ensure adherence to company policies and financial standards.
  • Maintain organized and accurate financial and operational records.

Support for Project Management Office:

  • Collaborate with project teams to collect financial and operational data for client projects.
  • Assist in preparing client proposals, budgets, and financial reports, ensuring accurate documentation and organization.

Technology and Tools:

  • Proficiently use financial software, spreadsheets, and office productivity tools to perform tasks effectively.
  • Stay updated on industry-specific tools and software related to finance, project management, and operations.

Required Qualifications:

 

Education & Experience:

  • Bachelor’s degree in Finance, Business Administration, or a certificate/diploma in accounting/bookkeeping.
  • Previous experience in finance, operations, or administration is a plus.
  • Strong attention to detail, organizational skills, and time management.
  • Excellent communication and interpersonal skills, you can confidently interact with clients and team members alike.
  • Proficiency in Microsoft Office Suite, Google Workspace, and financial software (Workamajig experience is a plus).
  • Experience with ERP systems is an asset.
