Ketek GroupP OSITION BACKGROUND The Dispatcher coordinates with Project Managers/Branch Managers/Logistics Manager to ensure sufficient staff are available for projects/service as requested. Through superior customer service, the Dispatcher is crucial to the operation of the service team. On call 24/7, the Dispatcher coordinates and dispatches Logistics Drivers and equipment to meet the Client needs. For the purposes of this document, 'Company' refers to Ketek Group Inc. and all its subsidiaries. CORE DUTIES Client Management Receive telephone requests for services, process and transmit information to field personnel via radio, telephone, or cell phone, and dispatch personnel according to schedules and work orders. Determine types or amounts of equipment, vehicles, materials, or personnel required according to work orders or specifications. Schedule assignments and coordinate activities of Drivers and equipment. Cultivate strong relationships with drivers and customers to reduce the stress that comes with last minute schedule changes. Act as a liaison between clients and Drivers. Arrange for mobilization and demobilization of vehicles and equipment. Schedule jobs and coordinate equipment shipping and receiving. Schedule and coordinate equipment rentals, entering data, managing timecard and equipment inspection paperwork. Employee Management Provide opportunity for skill development to progress through the field hierarchy. Work with Logistics leadership on equipment shortages, allocation of equipment. Coordinate with the Training department for scheduling of new/recertification training for drivers to ensure site requirements are met. Manager Employees during gaps in work, allocating to the shop where possible. Coordinate with Human Resources to engage in progressive discipline where required. Daily Administration Organize maintenance, repairs, and inspections of branch truck and trailer fleet through the maintenance shop. Conduct regular audits of inspections and journey management plans. Conduct Log book audits. Ensure timely and correct submission of Prorate and IFTA paperwork by drivers and branches. Submit quarterly and annual reports to authorities for these. Prepare and submit billing through RMI. Issue PO’s and RO’s to drivers and clients. Follow up on issues with work orders. Approve Daily Job Control Sheets and time-off requests. Maintain the permits, insurance registration on all logistics vehicles. Receive, log, and execute all requests in a timely manner. Record and maintain files and records of customer requests, work or services performed, charges, expenses, inventory, and other dispatch information. Advise personnel about traffic problems such as construction areas, accidents, congestion, weather conditions, and other hazards. Other Duties Load and unload trucks after hours and when on call. Oversee Truck shop in Managers absence. Cooperate with Training department for scheduling of new/recertification training. Observe all safety procedures and use proper Personal Protective Equipment. Ensure all Company’s work procedures, policies and Occupational Health and Safety regulations are followed and represent the Company in a light that is commensurate with the values of Management and the Corporate Mission Statement. Help develop and implement new Work Procedures as needed. Operate Semi trucks and 7tn Picker when required on trips and local jobs. QUALIFICATIONS AND SKILLS Required Minimum 5 years’ experience in the oilfield industry. Minimum 3 years’ experience in a supervisory role. Fluent in the English language (reading, written, spoken). High School diploma. Able to demonstrate good hand/eye coordination and manual dexterity. Able to operate required equipment in a safe and responsible manner.
