Job Overview We are seeking a dynamic and detail-oriented Dispatcher and Customer Service Representative to join our team. In this vital role, you will coordinate transportation operations, manage freight logistics, and deliver exceptional customer service. Your proactive communication skills and organizational expertise will ensure smooth dispatching processes, efficient route planning, and timely deliveries. This position offers an exciting opportunity to be at the heart of our supply chain operations, supporting both internal teams and external clients with professionalism and enthusiasm. Duties Coordinate vehicle dispatching by scheduling pickups and deliveries using transportation management systems such as Vehicle Dispatch Software. Communicate with drivers, carriers, and clients via multi-line phone systems, ensuring clear, professional phone etiquette and effective internal communication. Monitor GPS and GIS data to optimize routing, track shipments in real-time, and ensure compliance with DOT (Department of Transportation) regulations. Manage shipping & receiving documentation, update logistics data entry records, and maintain accurate records within AS400 and SyteLine systems. Handle customer inquiries promptly through phone calls or internal communication channels, providing status updates and resolving issues efficiently. Assist with freight management tasks including scheduling shipments, coordinating 3PL (Third-Party Logistics) providers, and supporting transportation planning efforts. Support road transportation operations by analyzing data for route efficiency improvements, managing fleet movements, and ensuring adherence to safety standards. Requirements Proven experience in dispatching within transportation or logistics environments; familiarity with vehicle dispatch software is essential. Strong knowledge of GIS, GPS technology, supply chain processes, and transportation planning principles. Proficiency in Microsoft Office Suite (Word, Excel) for data entry, reporting, and analysis tasks. Excellent communication skills—both verbal and written—with the ability to manage multi-line phone systems professionally. Ability to handle high-volume phone call management while maintaining courteous customer service standards. Familiarity with DOT regulations related to road transportation operations and vehicle safety standards. Strong organizational skills with attention to detail; capable of managing multiple priorities simultaneously. Experience working with transportation management systems such as Oracle Transportation Management or similar platforms like SyteLine or AS400. Knowledge of freight logistics, shipping & receiving procedures, fleet management practices, and 3PL coordination is preferred. Ability to perform data analysis for route optimization and operational efficiency improvements.
