Position Summary As the voice and command center of our service operations, you will manage incoming service requests, schedule and dispatch commercial technicians, and coordinate parts ordering. The ideal candidate thrives in a fast-paced environment, excels at multitasking, and has a strong background in customer service or field service dispatching—ideally within the HVAC, plumbing, electrical, or construction trades. Key Responsibilities Dispatching & Scheduling: Efficiently route and schedule commercial HVAC/R service technicians and installation crews based on priority, location, skill set, and urgency. Customer Communication: Serve as the primary point of contact for commercial clients reporting equipment issues, providing timely status updates, appointment windows, and follow-ups. Work Order Management: Create, update, and close out work orders in our dispatch/ERP software with high accuracy and attention to detail. Parts & Logistics Coordination: Coordinate with our warehouse and parts suppliers to ensure technicians have the necessary equipment, tools, and replacement parts before heading to a job site. Emergency Response: Handle high-priority emergency service calls calmly and strategically, ensuring minimal downtime for critical commercial refrigeration and HVAC systems. Administrative Support: Track technician hours, verify timesheets, and assist the service manager with daily operational reporting and documentation. Qualifications & Skills Experience: Minimum 1–3 years of experience as a dispatcher, customer service representative, or coordinator in the HVAC, construction, or trade service industry. Technical Savvy: Proficient in Microsoft Office Suite (Excel, Outlook). Communication: Exceptional verbal and written communication skills with a professional, customer-first demeanor. Problem-Solving: Strong geographical knowledge of the service area and the ability to adapt quickly to last-minute schedule changes, emergencies, or traffic delays. Organization: High attention to detail with the ability to multitask effectively in a high-pressure, fast-moving environment.
