Data & Operations Specialist
Poll SoundThis role keeps our business data accurate and reliable. While some of the work is data entry, the real value is in noticing what doesn't look right: a number that doesn't match, a record that's out of date, or a spreadsheet that tells a different story than expected. You'll begin by supporting pricing and project records and gradually take on data projects across other teams as the business grows. Success in this role comes from attention to detail, curiosity, and the ability to track down the right answer when something doesn't look correct. What You'll Do Maintain accurate and up-to-date records across our business systems. Verify data against source documents (spreadsheets, quotes, purchase orders, invoices, and reports), identify discrepancies, and escalate issues when needed. Clean up records by correcting errors, removing duplicates, and filling in missing information. Respond to data-related requests from coworkers by researching information, finding answers, and providing clear written responses. Review and validate outputs generated by software and AI tools, ensuring accuracy and correcting errors when necessary. Document findings, decisions, and processes clearly so others can follow your work. Take on new data projects and process improvements as business needs evolve. What You'll Bring Strong attention to detail and a habit of checking your own work for accuracy. Advanced Excel skills, including sorting, filtering, lookups (VLOOKUP/XLOOKUP), and working with large datasets. Clear, concise written communication skills. Good judgment, including knowing when to investigate further or ask questions before making changes. Comfort learning new software, systems, and processes quickly. Curiosity and persistence in finding the right answer when something doesn't look correct. Nice to Have Experience with purchasing, inventory, or accounting processes, including purchase orders, invoices, and receipts. Experience working with ERP, CRM, inventory management, or similar business systems. Experience using AI-enabled tools in a business environment, along with the judgment to validate results rather than relying on them blindly.
