Mach Energy Services LLCJOB TITLE: Contracts and Procurement Specialist LOCATION: Oklahoma City, OK REPORTS TO: Contracts Manager COMPANY: Mach Energy Services LLC ABOUT US Mach is a rapidly growing provider of energy-related construction solutions for the upstream and midstream markets. Mach has a position available in our Contracts & Procurement team as a Contracts and Procurement Specialist based out of our headquarters in Oklahoma City, OK. POSITION SUMMARY The Contracts and Procurement Specialist is responsible for supporting Mach’s overall compliance and the vendor lifecycle. They will be responsible for onboarding suppliers and subcontractors, contract administration and vendor compliance. This role reports to the Contracts Manager and will work closely with accounting, project coordinators, project managers, estimators, and field leadership to ensure vendor documentation is properly executed, documented, compliant, and aligned with project and company objectives. The Contracts and Procurement Specialist will also support the client/customer qualification and onboarding process. They will support and maintain state construction and electrical licenses, ensuring the proper licenses and documentation are in place for compliance. KEY RESPONSIBILITIES Vendor and Subcontractor Compliance Onboard vendors by collecting, verifying, recording and maintaining current certificates of insurance, W-9s, safety documentation, and prequalification forms. Track compliance and expiration dates and coordinate with vendors to ensure all compliance items remain current prior to mobilization. Support the project and safety teams in monitoring vendor performance and safety metrics. Client/Customer Qualification and Onboarding Coordinate with the Business Development team when new customers are identified, providing the appropriate documentation to the customer for compliance. Coordinate with the customer to document the appropriate contacts for our records and company communication. State Construction License Qualification and Coordination Coordinate with Business Development and Operational leadership when new states are identified, ensuring the proper documentation is filed and approved for state compliance for General Construction and Electrical license compliance. Maintain and track state compliance qualification and file appropriate documentation for license renewals. Contract Administration Review, route and track contracts including MSAs, NDAs, and subcontracts to ensure proper execution, storage, and compliance. Coordinate with internal stakeholders and external legal counsel when revisions or legal reviews are necessary. Maintain accurate version control and digital records for all executed documents. REQUIRED QUALIFICATIONS Associate’s/Bachelor’s degree in Finance/Accounting, Supply Chain or Business, or 3-5 years of equivalent experience in procurement or contract administration 1-5 years in procurement or contract administration Detail-oriented, strong organization, communication and analytical skills PREFERRED QUALIFICATIONS Previous experience in Construction Industry Experience using ERP tools like Viewpoint/Spectrum or Project Sight, procurement modules and/or Contract Lifecycle Management Software Paralegal Certification WORKING CONDITIONS Use a computer, phone, and standard office equipment. Work extended hours and adjust priorities to meet project goals. Attend and participate in meetings. Potential for occasional work travel.
