As our Customer Service Representative, you play a critical role at the heart of Ring Rescue's customer experience, ensuring every interaction is seamless, responsive, and trustworthy. Acting as a central hub between customers, sales, and operations, you help remove friction from the buying and support journey, making it easy for customers to do business with us. From managing orders and resolving issues to maintaining accurate systems and supporting commercial initiatives, your attention to detail and customer-first mindset directly influence customer satisfaction, brand perception, and long-term loyalty. This role is essential in delivering a consistent, high-quality experience that reinforces Ring Rescue's reputation for reliability and care.
What you'll do
Responsibilities
- Serve as the primary point of contact for inbound interactions. This includes, but is not limited to:
- Answering phone calls in a timely manner
- Monitoring and responding to the Ring Rescue Sales email account in a timely fashion
- Shared monitoring of Contact Us forms and Registration forms from the website.
- Process all Sales Orders and warranty claims in a timely manner.
- Assist customers with order status and resolve any issues or concerns
- Maintain order records and update the sales database (SOS Inventory and HubSpot)
- Appropriately logging Customer feedback and comments in compliance with regulatory systems established at Ring Rescue.
- Provide support for vendor onboarding processes, including handling documentation such as W-8BEN-E forms, as required by sales teams or prospective clients.
- Assist with marketing and commercial operations by coordinating shipping, receiving, and logistics for trade shows, training sessions, and related events, ensuring all activities are completed within established deadlines.
- Support the commercial team with inventory of Ring Rescue Kits, tradeshow booths, and all other commercial supplies and collateral. Ensure that items are well-stocked and any backorders/stockouts are reported immediately.
- Provide established sales collateral for field sales representatives.
- Tradeshow bookings and logistics - registration fees, hotels, travel, shipping, booth maintenance etc.
- Transferring and managing data between software (Microsoft Office, HubSpot, Google Workspace)
- Update and maintain CRM data regularly, including data entry and property updates
- Manage inbound and outbound shipping issues related to customer experience interactions, coordinating with internal Operations and external shipping partners to support accurate, timely delivery and resolve delivery or clearance issues.
- Additional tasks and responsibilities as the company and your role evolves and are mutually agreed.
What you'll need
Qualifications
- 2-4 years of experience in administrative, client support, sales support/operations, office coordination, or relevant work experience.
- Strong problem-solving abilities with a customer-first mindset.
- Experience working with order processing, CRM systems, or customer databases is considered a strong asset.
- Proficiency with Microsoft Office, Google Workspace, and CRM systems (HubSpot preferred).
- Strong organizational and time-management skills to multitask and prioritize in a fast-paced environment.
- Exceptional attention to detail and accuracy in data order processing.
- Ability to work independently with minimal supervision and collaboratively in a team environment.
- Comfortable working in a role with diverse responsibilities and shifting priorities.
- Excellent written and verbal communication skills to handle customer inquiries professionally, resolve issues effectively, and communicate across teams
