Position Details We have an exciting new opportunity for you to join our Calgary team as a Buyer/Inventory Coordinator! We're looking for a detail-oriented, analytical individual to manage the full purchasing cycle, from forecasting and ordering to costing, pricing, and vendor relationships. The goal is to have the right products in stock, at the right cost, across all of our locations. Tech-savvy: Learns new systems quickly and keeps data accurate across ERP, e-commerce, and shipping platforms. Strong work ethic: Takes ownership, follows up relentlessly, and brings urgency every day. What You'll Do Purchasing and Forecasting: Forecast demand using sales history, current stock, in-transit inventory, and upcoming promotions to plan purchase orders. Request and review vendor quotations, then generate and issue purchase orders (POs). Verify proforma invoices against POs before payment and confirm payments with suppliers. Track each PO from order to arrival, following up with vendors and forwarders as needed. Identify closeout and special-buy opportunities that fit our margins. Analyze purchasing data to identify cost savings and improve procurement processes. Vendors and Freight: Communicate daily with vendors and freight forwarders. Obtain and compare freight quotes from multiple forwarders and book shipments within margin targets. Research and identify reliable suppliers, and evaluate new products for approval. Negotiate pricing, terms, and contracts with vendors to achieve optimal purchasing conditions. Build and maintain strong supplier relationships to ensure product quality and availability. Costing and Pricing: Calculate and update the landed cost of each shipment, including freight and currency conversion, verified against supplier invoices. Calculate selling prices based on landed cost and margin targets, submit them for approval, and update the system. Review invoices, keep vendor payment information up to date, and work with Accounts Payable to resolve invoicing issues. Inventory and Systems: Create and maintain product listings, including descriptions, SKUs, UPCs/barcodes, and images. Manage and update price, quantity, product, order, and vendor data in our ERP, e-commerce, and shipping systems. Generate and monitor stock transfers between locations. Monitor out-of-stock, incoming, and discontinued items. Returns, Warranties, and Parts: Manage vendor returns, warranty claims, and replacement part requests through to credit note or replacement. Coordinate with the warehouse, customer service, and accounting teams to resolve claims. Sales and Marketing Support: Present new inventory and price changes to the sales team and answer product and stock questions. Collaborate with sales and marketing to understand customer demand and trends. Provide product information and material for marketing initiatives such as catalogues and flyers, and review the catalogue regularly for accuracy. Take on additional duties as needed.
