The Boca RatonSummary The ideal candidate has purchasing experience in the event or high-volume business. The ability to oversee all aspects of purchasing for Boca By Design as well as special requests for the Resort. This includes, purchasing, overseeing deliveries and shipments, allocation of purchased items to respective departments or events. The ability to source products and search for best pricing. Must have computer and multitasking skills. Essential Functions Job duties include, although are not limited to: Contacting vendors and negotiating pricing Processing purchase orders Placing online orders Reading and assuring all vendor contracts are in place. Ensuring managers meet their markup. Initiate vendor contacts & pricing guides for all aspects of the décor product at Boca By Design. Serves as agent and buyer for all décor product and entertainment. Keep Vendor contracts up to date with active insurance agreements. Drafts aids that provide sales staff with sales tools and marketing pieces. Support and assist the Production Manager, as well as all sales managers. Always be proactive in setting up new accounts for prospective vendors. Attempt to work one month out on proposals to avoid overcharges as well as delivery fees. Devise a double check system to ensure all entertainment is contracted timely. Produce quarterly reports that keep multiple vendors for each category for pricing competitiveness. Do all requisition requests for all orders. These reqs include client charge, vendor name, date required as well as actual cost to verify correct mark up. These are forwarded to Manager for proper coding and signature. Negotiate the best possible price from the vendor to increase profits for the company. Oversee Linen ordering and deliveries in Linen Employee’s absence Make sure all giveaways are pulled and labeled prior to event. Maintain inventory along with Production Manager. Coordinate pickup and delivery of all rented furniture and all rental equipment. Preparing FedEx shipping online, arranging of mailing of packages. Always researching new products for sales managers to sell. Attend Special Events Exhibits and local shows for new product information. Perform other related duties as assigned or requested by supervisors/managers. Accruals at the end of the month in a timely manner. Inputting invoices into Birch Street for payment and processing and then sending to Accounts Payable at the hotel to be paid. Create expense reports for Directors purchasing for events. Internal Relationships Reports to Boca by Design managers and associates, Resort managers and associates, guest, clients. External Relationships Has regular contact with Vendors, clients, guests Qualifications A Minimum of 2 Year working knowledge of the décor design business and operations. Excellent communication and guest’s relation’s skills. Ability to negotiate for the best value for the company. 2 years or more working knowledge of design décor production, construction and product resource knowledge, artistic production methods and equipment use. Understand/Speak/Read/Write English fluently Education/Experience Requirements High School Diploma or GED preferred, but not required. Physical Requirements Lifting 50 lbs. maximum with frequent lifting and carrying of objects weighing up to 25 lbs.
