Accounting & Procurement Specialist

Acadia LLC | Knoxville, TN Acadia is seeking an organized, detail-oriented Accounting & Procurement Specialist to support our landscape design-build business and real estate operations. This position combines accounting support, purchasing, vendor coordination, and process improvement. Were looking for someone who can keep accurate records, follow through on orders and invoices, and help our office and production teams work efficiently. What youll do Support bookkeeping and accounting across our landscape and real estate businesses. Process vendor invoices, verify charges against quotes and purchase orders, and flag discrepancies. Support accounts payable, accounts receivable, billing, and account reconciliations. Ensure expenses are assigned to the correct job, property, and business entity. Request vendor quotes, prepare purchase orders, and coordinate material purchases. Track orders, deliveries, backorders, returns, and vendor credits. Coordinate with project managers and production staff to confirm material needs and delivery timing. Support accurate job costing and financial records in Aspire and QuickBooks. Help maintain consistent workflows between purchasing, production, and accounting. Assist with system training, documentation, and improvements to office processes. What were looking for Bookkeeping or accounting experience. Proficiency with QuickBooks and Excel or Google Sheets. Strong attention to detail and follow-through. Ability to organize records across multiple jobs, properties, and business entities. Clear communication and experience coordinating with vendors. Ability to work independently while collaborating with accounting and operations staff. Preferred experience Aspire software. Construction or landscape job costing. Purchasing and procurement. Real estate or property management accounting. Compensation Based on experience and qualifications.
