Power Tractor is a growing equipment dealership representing leading agricultural, construction and outdoor power equipment brands. As our business grows, so does the volume and complexity of the transactions behind it. We are looking for an organized Accounting & Inventory Control Coordinator to keep day-to-day bookkeeping, invoicing and inventory records current and accurate. This is a hands-on bookkeeping and accounting coordination position. The Role You'll work closely with administration, sales, parts, service and management to process transactions, maintain accurate records and complete reconciliations. A major part of your role is doing the daily accounting work: entering invoices, creating customer invoices, applying payments, updating inventory and resolving discrepancies. What You'll Own Daily Accounting Control Enter and code daily sales, purchase and accounting transactions Maintain accurate records in QuickBooks and QuickBooks Online Process supplier invoices and prepare payment runs for management approval Create customer invoices, post receipts and follow up on outstanding accounts receivable Reconcile bank and credit-card transactions Record customer deposits and apply them correctly to final invoices Reconcile vendor statements Identify duplicate, missing or incorrectly coded transactions Maintain organized supporting documentation Prepare GST/PST reconciliations and supporting information for filings Prepare clean supporting information for month-end and external accounting Vendor & Purchase Reconciliation What we ordered = what we received = what we were invoiced = what we recorded. Responsibilities include: Match vendor invoices to purchase orders and receiving records Verify quantities and costs Identify pricing discrepancies Track outstanding vendor credits Follow missing documentation Reconcile manufacturer statements Ensure freight and other applicable costs are captured correctly Work with internal staff and vendors to resolve discrepancies Equipment & Inventory Control Reconcile equipment inventory records Track units by serial number or VIN where applicable Record incoming equipment and verify serial numbers and costs against manufacturer invoices Enter approved inventory adjustments and maintain accurate unit costs Review inventory aging Identify discrepancies between accounting records and physical inventory Assist with periodic physical inventory counts Complete sold-equipment invoicing and update inventory records Ensure accessories, attachments and other costs are properly captured Floor-Plan Reconciliation You'll monitor and reconcile equipment financed through manufacturer or third-party floor-plan programs, including: Units added to floor plan Amounts financed Payment requirements Sold-unit payoffs Credits and adjustments Aging Interest exposure Differences between physical inventory, accounting records and floor-plan statements Reporting & Management Visibility Prepare recurring reports for management covering: Inventory value Inventory aging Floor-plan exposure AP aging AR aging Vendor balances Outstanding credits Sales activity Gross margin Transaction exceptions Month-end reconciliation status Strong Excel capability will be important.
