Housing Authority of the City of High PointPOSITION SUMMARY The purpose of the Work Orders Clerk position is to perform clerical and receptionist duties for the Asset Management/Section 8 Department of the High Point Housing Authority (“HPHA” or “Agency”). The employee is responsible for entering data into computer system, answering the telephone, assisting residents with complaints, receiving and assigning work orders, and filing. All activities must support the Agency’s strategic goals and objectives and produce results that accomplish the goals and functions of the Asset Management/Section 8 Department. ESSENTIAL DUTIES AND RESPONSIBILITIES The duties listed below illustrate of the various types of work that may be performed. The omission of specific statements regarding duties does not exclude them from the position if the work is similar, related, or a logical assignment in association with this position. Undertakes and performs the following and all other work-related duties as assigned. · Performs administrative duties for the Asset Management/Section 8 Department, which includes typing, creating and updating spreadsheets, and operating office equipment such as copiers and printers. · Answers telephone calls for the Asset Management/Section 8 Department. Determines the nature of each call, and either provides information or transfers to the appropriate personnel. · Generates, processes, and distributes work orders to field maintenance personnel; checks time on work orders; ensures that work orders are filled out completely; enters data concerning new and completed work orders in order to close out the order. · Maintains the work order log. · Checks stock numbers on materials. · Greets any residents who visit the department. As appropriate, answers questions or directs visitors to the appropriate staff member. · Operates cell phone in dispatching maintenance trucks. · Maintains timecards for Maintenance department. · Performs other duties as assigned. Job Competencies · Knowledge of the methods, procedures and policies of the HPHA, as are relevant to the performance of the essential duties of the Work Orders Clerk. · Knowledge of principles and practices of performing clerical and receptionist tasks. · Knowledge of the laws, ordinances, standards, and regulations pertaining to the essential duties and responsibilities of the position. · Knowledge of the organization of the department, and of related departments and agencies. · Recognizes any occupational hazards and adheres to any safety precautions inherent in performing the essential functions of the work. · Knowledge of terminology and related professional languages used within the department as such pertains to work responsibilities. · Knows how to maintain cooperative and effective relationships with intra and interdepartmental personnel, as well as any external entities with whom the position interacts. Education and/or Experience High school diploma or equivalent, with at least one (1) year of experience or training involving general business, typing, public relations, computer skills, and data entry. An equivalent combination of education and experience may be considered. Certificates, Licenses, Registrations Possession of a valid, North Carolina driver’s license and the ability to be insurable under the Agency’s automobile insurance plan at the standard rate.
