Pay Rate: Negotiable based on level of experience between $29.00-$35.00 per hour

 
  
PRIMARY RESPONSIBILITIES


Under general supervision of the SVP, Wealth Operations Manager, the Operations Specialist is responsible for supportint Wealth Advisors with onboarding, ongoing maintenance, and closing of accounts. This role ensures accurate data collection, asset movement, regulatory documentation, and operational integrity of daily tasks. The Operations Specialist will be cross trained to assume the responsibilities of the SVP, Wealth Operations Manager in their absence, as well as  provide additional coverage for Trust Administration functions. This role requires the ability to work both independently and within a team environment, across multiple stakeholders both internally and externally. This role is primarily in office, with the opportunity for a hybrid schedule after 90 days.

Accountabilities & Measures

Key Accountabilities:
1. Model behaviors consistent with A+ Merits to foster an effective culture.
2. Responsible for timely and accurate client onboarding.

3. Responsible for preparing necessary documents for both Trust Investment Committee and Trust Administrative Committee meetings, including proper documentation, minute taking and follow-through for board reporting.

4. Collaborate with departments and external partners to ensure efficient trust operations.

 Success Measures:
1. Independently and accurately performs trust core responsibilities by management.

2. Maintains acceptable “Not in Good Order” (NIGO) results for account onboarding and maintenance.
3. Provides timely and accurate reporting to the trust teams and committees.

4. Demonstrates proficiency in trust core systems, workflows, and processing functions.
  
ESSENTIAL FUNCTIONS:

1. Adheres to the NHMB Values: A+ Merits - Accountability, Mutuality, Excellence, Respect, Integrity, Teamwork and Stewardship.

2. Facilitates onboarding of new trust clients, including collection, verification, and accurate entry of all required documentation into the trust core system.

3. Coordinate securities and cash transactions, including trade release files with multiple vendors.

4. Maintain the accuracy and integrity of data within core systems through ongoing review and regular reconciliations, including but not limited to fee accuracy, client data and workflow processing

5. Generate financial, operational, and compliance reports as required.

6. Act as a liaison between the Middle Office, Custodian, and Trust Accounting teams to ensure seamless operations and issue resolution.

7. Responsible for Vendor Management Program for NHTrust.

8. Acts as subject matter expert of the CRM system.

9. Responsible for managing and resolving client calls that require escalation support.

10. Assumes additional responsibilities as requested.
  
MINIMUM PHYSICAL REQUIREMENTS
Physical surroundings are generally pleasant and comfortable with minimal exposure to injury or other hazards with moderate level of noise. Independent means of transportation for travel on occasion to branches and departments as well as meetings, trainings, etc. Minimal physical effort required with very occasional lifting of up to 30 lbs. Normally seated with the freedom of movement on a regular basis.
  
DESIRED EDUCATION/ DEGREE/ MAJOR
Associate’s Degree in Business, Finance or related field. Relevant experience may be considered in lieu of educational requirements
  
DESIRED JOB EXPERIENCE

Minimum of 5-7 years in an operational capacity, with expertise in CRM system management, workflow development and implementation, and vendor relations. 
  
OTHER QUALIFICATIONS
Exceptional attention to detail and accuracy along with time management skills is essential. Must possess the ability to prioritize multiple tasks in a fast paced, often changing environment. Outstanding oral and written communication skills are essential as is solid proficiency in Microsoft Office products, including Word, Excel, PowerPoint and Copilot.
