al roofing projects across a 13-state territory (Northern Group plus Oregon, currently)—with contracts averaging $1.6 million—this position ensures accurate preparation, timely deliveries, and reliable inventory records. The manager works cross-functionally with project managers, field leadership, purchasing, safety personnel, drivers, and vendors to guarantee each project receives the precise materials and fully operational equipment needed to maintain schedules and profitability.
Reporting Structure & Coordination
• Reports To: Directly to the Operations Manager.
• Supervises: Drivers and warehouse staff.
• Site Coordination: Coordinates directly with site managers as required, following general direction established between the Operations Manager and the Warehouse Manager/Coordinator.
• Daily Collaboration: Works daily, as required, with the Purchasing Manager and the Regional Admin Manager and admin staff to align operations.
• Purchasing Authority: Initially, all purchases must be approved by the Regional Admin Manager and the Spec-Division Procurement Manager.
Key ResponsibilitiesWarehouse Operations & Inventory Control
• Inventory Management: Monitor stock levels, track routine project supplies (including Brushman orders), and request reorders before inventory is depleted to prevent project delays.
• Material Handling: Pull, verify, package, and skid materials and equipment for specific jobs. Mark and group items by project for rapid, efficient loading.
• Documentation & Reporting: Process incoming and outgoing material transfers ensuring appropriate job names are recorded.
• Physical Audits: Conduct monthly physical inventory counts in strict coordination with the Operations Manager, who oversees posting the final monthly metrics.
• Facility Standards: Maintain a clean, highly organized, and OSHA-compliant warehouse, organizing materials by product type, manufacturer, and project status for immediate retrieval.
Logistics & Fleet Management
• Driver & Delivery Scheduling: Coordinate incoming deliveries, jobsite deliveries, and pickups. Utilize organizational tools (e.g., Google Calendar) to optimally schedule drivers, equipment routing, and returns.
• Fleet Tracking: Manage fleet operations using the company tracking spreadsheet. Assign trucks, schedule vehicle pick-ups and disposals, run maintenance reports, notify drivers of required actions, and follow up to ensure compliance.
• Regulatory Compliance: Track and schedule annual DOT certifications and inspections for all assigned company trucks and trailers prior to expiration.
• Transfer Control: Prepare packing lists and maintain strict transfer records to establish a clear chain of custody for what was sent, received, returned, or relocated.
Equipment Maintenance & Small Engine Repair
• Hands-On Maintenance (Critical): Perform routine equipment checks, oil changes, and minor small engine repairs. Arrange qualified vendor service for major repairs that exceed in-house capabilities.
• Return Processing: Enforce the return policy requiring field teams to provide advance pictures and an itemized list of all returning equipment to facilitate effective turnaround scheduling.
• Operational Readiness: Inspect returning equipment for functionality, verify engine hours to determine maintenance needs, and consult with site managers on required repairs before clearing items for redeployment.
