About the Role As our Warehouse & Inventory Specialist , you will be responsible for the day-to-day operation of the warehouse, including shipping and receiving, inventory control, hardware tracking, equipment staging, and ensuring technicians have the equipment required to complete service calls and projects. You will work closely with the Procurement Manager, Project Managers, Technical Support staff, technicians, and other internal teams. Project Managers will provide direction for project-related equipment requirements, while the Technical Support Team will coordinate equipment needs for service calls. Accuracy and accountability are critical. Equipment, serial numbers, inventory movements, receiving information, technician assignments, and related activities are expected to be tracked in internal systems in accordance with internal processes. Responsibilities Shipping & Receiving Receive incoming hardware, software-related shipments, parts, supplies, and other equipment. Verify received equipment against purchase orders, packing slips, and expected deliveries. Inspect shipments for visible damage, shortages, or incorrect items and promptly report discrepancies. Prepare, package, label, and coordinate outbound shipments to customers, technicians, project sites, and vendors. Maintain accurate shipping and receiving records, including tracking numbers and proof of shipment where applicable. Coordinate returns, exchanges, warranty shipments, and RMA equipment as required. Inventory Control & Warehouse Management Maintain an organized, clean, secure, and efficient warehouse environment. Track inventory quantities, storage locations, serialized hardware, and equipment status. Maintain appropriate separation of customer equipment, Company stock, project equipment, service spares, returns, and equipment awaiting disposition. Identify low-stock items, discrepancies, obsolete equipment, and inventory issues and bring them to the attention of the Procurement Manager and General Manager. Complete quarterly physical inventory counts and reconcile results against Systems records. Support periodic cycle counts or spot checks as required between quarterly counts. Hardware Tracking & System Updates Record all applicable inventory receipts, transfers, allocations, serial numbers, equipment assignments, and other warehouse transactions in ConnectWise. Ensure equipment issued to technicians or assigned to projects/service calls is accurately documented before it leaves the warehouse. Maintain traceability of customer-owned and company-owned hardware from receipt through deployment, return, replacement, or disposal. Keep Internal Systems inventory and hardware records current so internal teams can rely on the system as the source of truth. Assist with investigating and correcting inventory discrepancies. Technician, Service & Project Support Prepare and stage equipment required for scheduled projects based on direction from Project Managers. Prepare and issue equipment required for service calls based on direction from the Technical Support.
