Warehouse & Inventory Coordinator

About NeoLine Composites NeoLine Composites is a growing supplier of composite decking, fencing, and cladding products based in North Vancouver. We operate a relatively small warehouse, handling approximately five customer orders per week. While our order volume is manageable, individual orders often involve large quantities of heavy and oversized building materials. We are looking for an experienced, reliable, and physically capable Warehouse & Inventory Coordinator to take ownership of our warehouse operations. This is a hands-on position combining physical warehouse work, inventory management, logistics coordination, and process improvement. We need someone who can work independently, maintain accurate records, and help us build an efficient, well-organized warehouse as the business grows. Key Responsibilities 1. Warehouse Operations & Order Fulfillment Independently manage daily warehouse activities, including receiving, storage, picking, packing, and dispatch. Safely operate forklifts and electric pallet jacks to move, organize, load, and unload building materials. Physically handle large and heavy composite decking, fencing, and cladding products. Verify product codes, colours, lengths, quantities, and conditions against purchase orders and pick lists. Ensure orders are accurately picked, packed, labelled, and ready for scheduled pickups or shipments. Coordinate with the Sales and Operations Coordinator regarding order readiness, shipping information, shortages, and delays. Maintain accurate documentation and promptly report damaged or missing materials. 2. Inventory Management & Cycle Counting Maintain accurate physical inventory records and stock locations. Perform regular cycle counts, investigate discrepancies, and assist with full inventory counts. Track inventory movements, including incoming shipments, outgoing orders, returns, damages, and samples. Maintain accurate inventory and order status information using Zoho or similar inventory management software. Identify slow-moving inventory, stock shortages, and opportunities to improve inventory accuracy. Establish effective stock rotation, labelling, and inventory control procedures. 3. Demand Forecasting & Stock Planning Monitor historical sales, inventory movements, and upcoming orders to anticipate product demand. Identify fast-moving products and recommend appropriate minimum stock levels and reorder points. Communicate replenishment needs to management before shortages affect customer orders. Assist in reducing excess inventory, stockouts, and unnecessary warehouse storage costs. 4. Warehouse Organization & Process Improvement Develop and maintain an organized warehouse layout with clearly identified storage locations. Improve picking, packing, receiving, and loading workflows to reduce errors and wasted time. Establish practical warehouse procedures, checklists, and inventory tracking methods. Organize materials to maximize storage space, accessibility, and handling efficiency. Take ownership of warehouse cleanliness, safety, and operational readiness. 5. Logistics & Shipping Coordination Prepare orders for local pickups and freight shipments. Record shipment dimensions, weights, package counts, and supporting photographs. Coordinate loading and unloading activities and assist with carrier pickups. Maintain accurate shipping, receiving, and proof-of-collection documentation. Communicate order readiness and shipping requirements to the Sales and Operations Coordinator. 6. Reporting & Communication Provide regular updates on warehouse activities, pending orders, inventory discrepancies, and operational issues. Prepare weekly inventory reports, including cycle count results, shortages, and replenishment recommendations. Update picking, packing, and shipping statuses promptly in Zoho.
