Warehouse Fulfillment and Distribution Manager
CaliberService Center CSCS TX Position Summary The Warehouse Fulfillment and Distribution Manager leads daily warehouse operations and the flow of tools, equipment, parts, and supplies from receipt through delivery to Protech field technicians and service centers. This role owns order fulfillment, inventory accuracy, distribution performance, and team development in support of all mobile business lines. The manager ensures orders arrive complete, accurate, and on time while controlling operating costs and protecting company assets. In partnership with Operations, Procurement, Field Leadership, and Technology, this leader builds processes that support growth and reduce technician downtime. Key Responsibilities Fulfillment and Warehouse Operations Lead receiving, inspection, put-away, picking, packing, kitting, and shipping; verify incoming quantities and condition against purchase orders and resolve discrepancies. Set daily priorities and fulfillment schedules based on service needs, order volume, and available capacity; communicate backorders and expected completion dates. Establish quality checks for item accuracy, kit completeness, packaging, and shipment documentation; maintain an organized warehouse layout that supports efficient material flow. Inventory Control and Returns Own inventory accuracy through timely system transactions, cycle counts, physical inventories, and reconciliation; investigate variances and correct their causes. Maintain location, serial number, assignment, and movement records for high-value tools and equipment; control access and reduce loss, excess stock, and obsolescence. Manage returns, warranty exchanges, repair routing, and redeployment; separate damaged or unserviceable items and reconcile inventory records and vendor credits. Distribution and Logistics Manage carrier pickups, shipment tracking, and delivery performance; select shipping methods that meet service commitments at an appropriate cost. Partner with Procurement and vendors on pricing, freight terms, and service performance; monitor freight spend and reduce avoidable expedited shipments. Resolve late, lost, or damaged shipments, coordinate claims and replacements, and keep field teams informed through resolution. Cross Functional Partnership Align replenishment and stocking levels with Procurement using field demand, lead times, and planned deployments; escalate shortages before they affect service. Partner with Technology to improve warehouse management systems, barcode scanning, order visibility, and inventory tracking. Fleet and Field Enablement Coordinate tool kits, replenishment, equipment replacements, and deployment schedules with Field Leadership to support technician readiness and new business needs. Arrange urgent or same-day logistics when needed to minimize service delays, balancing technician downtime with shipping cost. Process Improvement and Scalability Develop and maintain standard operating procedures for fulfillment, inventory control, shipping, and returns; use performance data to remove bottlenecks and prevent recurring errors. Plan space, storage, equipment, and system capacity for increasing volume and multi-site growth; recommend improvements based on service impact and cost. Team Leadership and Development Recruit, train, coach, and evaluate the warehouse team; define responsibilities, cross-train employees, and hold the team accountable for quality and productivity. Align staffing, schedules, and overtime with demand and approved budgets; review daily results and address performance gaps. Safety and Compliance Maintain a safe, clean, and secure facility; enforce applicable safety requirements, including OSHA standards and company procedures for storage, lifting, and material handling. Conduct training and inspections, reinforce safe equipment use, and address incidents, near misses, and corrective actions promptly.
