HVAC Warehouse & Inventory Coordinator Key Heating and Air Conditioning — Exeter, NH Pay: $28–$32 per hour, based on experience and qualifications Schedule: Monday–Friday, 7:30 AM–4:00 PM Job Type: Full-time Work Location: In person About the Position Key Heating and Air Conditioning is hiring an experienced Warehouse & Inventory Coordinator to keep our equipment, materials, inventory, trailers, and deliveries organized and ready for our installation and service teams. This hands-on role combines warehouse work with purchasing, inventory management, and delivery coordination. We’re looking for someone who takes ownership, follows through, and keeps materials moving so our technicians have what they need when they need it. Responsibilities Receive, inspect, organize, and stage HVAC equipment, installation materials, and service parts for upcoming jobs. Review job requirements and pick lists, order materials from vendors, and confirm availability and delivery dates. Create purchase orders, receive materials against them, and maintain accurate purchasing and inventory records. Monitor stock levels and perform regular inventory checks across warehouses, service vehicles, cargo trailers, and the sheet metal shop. Track vendor backorders, follow up on missing materials, and communicate updates to the Installation Manager. Process vendor returns and warranty returns, including tracking credits and replacement parts. Coordinate daily deliveries and the delivery driver’s schedule and routes. Manage company cargo trailers, including scheduling, loading, unloading, cleaning, and resetting them for upcoming jobs. Monitor vehicle maintenance schedules and keep fleet service records current. Support the sheet metal shop with material ordering, inventory, organization, and basic fabrication as needed. Keep warehouse areas clean, organized, safe, and accessible. Work closely with installation, service, and management teams to resolve material needs and prevent job delays. Assist with other warehouse and operational duties as needed. Qualifications Previous experience in warehouse operations, HVAC, construction, or a related field. Strong organizational skills, attention to detail, and the ability to manage multiple priorities. Strong computer skills and the ability to learn and use ServiceTitan, Trello, and other company software. Clear communication skills and the ability to coordinate effectively with vendors, drivers, technicians, and managers. Ability to work independently, anticipate material needs, and follow tasks through to completion. A dependable, professional, and safety-conscious approach to work. Experience with inventory management, receiving, purchasing, logistics, or vendor coordination is preferred. Familiarity with HVAC equipment and materials is a plus. Physical Requirements This is an active warehouse position involving regular standing, walking, bending, reaching, lifting, and moving materials. Candidates must be able to safely lift and move materials weighing up to 50 pounds and handle HVAC equipment, tools, and supplies, with or without reasonable accommodation.
