Warehouse Coordinator Location: Elmhurst, IL Position Type: Full-Time Reports To: VP of Operations Position Summary The Warehouse Coordinator is a systems-minded operations professional responsible for connecting, configuring, and optimizing the technology that powers GoExceed's warehouse and shipping operations. This role focuses on integrating platforms, streamlining processes, and automating manual work so the warehouse scales through technology rather than added labor. The Warehouse Coordinator will own the configuration and day-to-day use of ShipCentral, NetSuite, and carrier platforms including UPS, FedEx, USPS, and DHL, along with international shipping workflows. The ideal candidate is a hands-on problem solver who sees every repetitive task as an opportunity to automate, is comfortable working in system settings and integrations, and can turn warehouse needs into efficient, well-documented workflows. Key ResponsibilitiesSystems Integration & Configuration · Configure, administer, and maintain ShipCentral as the central multi-carrier shipping platform. · Connect ShipCentral, NetSuite, and carrier accounts (UPS, FedEx, USPS, DHL) so orders, inventory, tracking, and shipping costs flow between systems without manual re-entry. · Set up and maintain carrier accounts, service levels, packaging profiles, shipping rules, label formats, and rate settings. · Manage NetSuite warehouse configuration, including item records, bins, locations, fulfillment workflows, saved searches, and inventory transactions. · Partner with IT and system vendors to troubleshoot integration errors, sync failures, and API or connector issues. Automation & Process Improvement · Map current warehouse workflows and identify manual, repetitive, or error-prone steps that can be automated or eliminated. · Build automation rules for carrier and service selection, label generation, batch shipping, tracking updates, and customer notifications. · Implement technology such as barcode scanning, mobile devices, label printers, scales, and dimensioners to reduce touches per order. · Measure the impact of process changes on labor hours, cost per shipment, accuracy, and turnaround time. · Create and maintain standard operating procedures (SOPs) and system documentation for every configured workflow. Shipping & Logistics · Coordinate daily inbound and outbound shipments across UPS, FedEx, USPS, and DHL. · Manage international shipping, including commercial invoices, customs documentation, HS codes, duties and taxes (DDP/DDU), and export compliance. · Evaluate carrier rates, transit times, and performance to recommend the most cost-effective shipping strategies. · Resolve shipping exceptions, address corrections, delivery issues, and carrier claims. · Ensure compliance with carrier requirements, documentation standards, and shipping regulations, including lithium battery handling for electronic devices. Inventory Accuracy · Maintain accurate inventory records in NetSuite through system-driven receiving, put-away, picking, and fulfillment. · Support cycle counts and investigate discrepancies, fixing the process or system root cause rather than just the count. · Use scanning and system controls to reduce manual data entry and improve traceability, including serial number tracking. Reporting & Analytics · Build NetSuite saved searches, dashboards, and reports for shipping volume, carrier spend, order cycle time, and inventory accuracy. · Audit carrier invoices and shipping costs against contracted rates and identify savings opportunities. · Report on automation results and recommend next improvements to Operations leadership.
