Work Center Coordinator - Warehouse Cleck - Administrative Assistant (would be descriptions for this particular job) This is a clerical position for the control of the work order system and the maintenance and distribution of materials, tools, and equipment. Work involves receiving requests for maintenance from residents and the Housing Authority staff, preparing and distributing work orders to the various maintenance crews, and monitoring and finalizing the computerized work order system for internal controls. The employee is responsible for preparing purchase requisitions, ordering parts and materials, distributing materials, and general inventory maintenance. Performance of the duties requires considerable independent judgment and interpersonal skills. Work includes processing requisitions, obtaining prices and bids, receiving and storing materials, distributing materials, answering calls to schedule ongoing maintenance services, maintaining files pertinent to the work order and inventory process. Performance of the duties requires sound knowledge of procurement procedures and perpetual inventory systems. Work is performed under the general supervision of the Assistant and Maintenance Supervisors. Job Duties 1. Orders parts and supplies to maintain an inventory for regular service needs of the Housing Authority maintenance department. 2. Receives materials and supplies and checks shipments for completeness and accuracy; assists with loading and unloading materials as required; enters supplies into inventory records. 3. Make emergency purchases; arrange pickup and deliveries of needed items. 4. Operates the central parts warehouse, which includes establishing and operating the storage system in a manner that protects the inventory against theft and physical damage. 5. Schedules repairs for broken pieces of equipment; stores inventory in an orderly fashion to promote safe and efficient retrieval and cleans warehouse facilities as necessary. 6. Isses materials and supplies from inventory which includes requisition of parts, and checks maintenance equipment in and out. 7. Operates a perpetual inventory system for parts and equipment, including preparing and computer input documents for inventory adjustments and maintaining inventory records. Monitors stock levels and initiates the reorder process as required. 8. Receives requests for maintenance from residents and Housing Authority Staff and assigns work orders to various maintenance crews according to function and schedule. 9. Monitors work orders and reviews tracking reports to ensure that work is completed and finalizes all work orders to ensure proper accountability of all costs required to complete work tasks, and completed in a timely manner and in accordance with Housing Authority and HUD standards 10. Monitors apartment painting and preventive maintenance spreadsheets and informs Maintenance Supervisor when items need to be scheduled. 11. Maintains current records and distribution of data for parts system to include cost-effective inventory policy; conducts semi & annual physical inventory of repair parts and supplies. 12. Inputs work items completed, and materials received and expended to the central data system daily. 13. Reviews technical manuals for newly purchased equipment to establish inventory and service list. 14. Dispatch emergency work orders by telephone or radio. 15. Reports all injuries. 16.
