Job Summary

The Logistics Administrator is responsible for supporting daily transportation operations by coordinating freight movements, managing customer and carrier purchase orders, tracking shipments, and auditing freight invoices. This role ensures accurate data entry, effective communication with internal teams and third‑party carriers, and timely execution of transportation activities while maintaining cost control and compliance.


Key Responsibilities

  • Obtain and manage customer purchase orders (POs) on a per‑load or per‑project basis
  • Create and issue internal carrier POs and distribute them to assigned carriers
  • Uses computer systems and transportation management software to perform accurate data entry related to shipments, carriers, rates, and documentation
  • Execute tracking and tracing of in‑transit shipments to ensure on‑time delivery
  • Assist with the coordination of daily transportation activities, including load scheduling and carrier communication
  • Maintain a third‑party carrier invoice audit tool to: 
    • Log freight costs
    • Document discrepancies and exceptions
    • Audit carrier invoices for accuracy prior to approval
  • Communicate shipment status, exceptions, and delays to internal stakeholders
  • Resolve basic carrier and billing issues in a timely manner
  • Support continuous improvement efforts related to transportation processes and documentation
  • Maintain organized and accurate transportation records in company systems


Qualifications

Required:

  • High school diploma or equivalent
  • 1–3 years of experience in transportation, logistics, freight coordination, or a related field
  • Strong data entry and administrative skills with high attention to detail
  • Familiarity with transportation documentation, purchase orders, and freight invoices
  • Ability to manage multiple priorities in a fast‑paced environment
  • Strong communication and organizational skills


Preferred:

  • Experience working with third‑party carriers or 3PLs
  • Experience using transportation management systems (TMS) or freight audit tools
