Responsibilities
• Audit all outgoing shipments to ensure accuracy, completeness, and compliance with internal procedures.
• Review and verify all shipping paperwork before orders leave the facility, ensuring all documentation is correct and properly filed.
• Prepare shipping documents and labels using SAP and Microsoft Office applications.
• Greet and check in all truck drivers and carriers as they arrive at the warehouse.
• Coordinate with couriers and carriers to schedule and confirm pick-ups and deliveries.
• Answer emails and respond to inquiries related to shipping, receiving, and order status.
• Support inventory management activities, including inventory control and inventory audits as needed.
• Assist with shipping and receiving tasks, including order processing and documentation.
• Use computers and Microsoft Excel for data entry, record management, and reporting.
• Collaborate with warehouse and store staff to ensure orders are processed accurately and on time.
• Work safely around forklifts and other material-handling equipment on the warehouse floor.
• Provide administrative support to warehouse operations, including customer service related to orders and shipments.
• Maintain organized records of shipments, inventory, and related documentation.
• Balance time between office-based administrative tasks (approximately 25%) and warehouse floor activities (approximately 75%).
Essential Skills
• At least 1 year of experience working in a warehouse environment.
• Experience with shipping documents, inventory control, and shipping and receiving processes.
• Proficiency with Microsoft Office, including Excel for data entry and basic reporting.
• Strong verbal and written communication skills to interact with carriers, truck drivers, and internal teams.
• Computer literacy and comfort working with data and documentation in a warehouse setting.
• Experience in roles such as warehouse coordinator, inventory control, shipping coordinator, administration support, or order processing.
• Ability to work safely around forklifts and other warehouse equipment.
• Customer service experience related to orders, shipments, or warehouse operations.
Additional Skills & Qualifications
• Experience with SAP or similar enterprise resource planning (ERP) software.
• Experience in organizations that have implemented new software systems and comfort with learning new technology (tech-savvy).
• Forklift operating experience, including reach forklift, is an asset.
• Record management experience, particularly for shipping and inventory documentation.
• International shipping experience.
• Experience working in a data-driven warehouse environment.
• Familiarity with HVAC products or distribution environments is an advantage.
