Description

Position Summary

The Vendor Procurement Coordinator plays a key role in supporting the Procurement Department by identifying and contacting potential vendors to support company operations. This entry-level position focuses on researching vendors online, making outreach calls to gather key information, and conducting initial screenings to determine if vendors meet basic company requirements. Qualified vendors are then referred to the Director of Vendor Engagement for next steps.

This role is ideal for someone who is detail-oriented, enjoys talking with people over the phone, and is eager to learn more about procurement and vendor management in a fast-paced business environment.


Key Responsibilities

  • Research potential vendors online using company tools, directories, and web searches.
  • Make outbound calls to vendors to gather basic information on their services, coverage areas, pricing, and capabilities.
  • Conduct initial vendor screenings using standardized questionnaires or checklists.
  • Document and track vendor information accurately in company systems or spreadsheets.
  • Schedule follow-up calls or meetings between qualified vendors and the Director of Procurement.
  • Maintain organized records of vendor communications and responses.
  • Support the procurement team with administrative tasks such as data entry, document filing, and updating vendor contact lists.
  • Assist in identifying new sourcing opportunities and helping expand the company’s vendor network.
  • Assist in preparing simple reports or summaries on vendor activity, sourcing progress, and market research findings for review by the Director of Vendor Engagement.
  • Perform other duties as assigned.

  • Strong attention to detail and organizational skills.
  • Ability to manage multiple tasks and maintain accurate records.
  • Comfortable using the internet for research and information gathering.
  • Proficiency in Microsoft Office (Excel, Word, Outlook).
  • Self-motivated and eager to learn about procurement and vendor sourcing.
  • Professional and courteous demeanor when communicating with external partners.
