Crowley County School District RE 1JJob Description 12-Month Position Job Function: The Transportation/Food Service Coordinator provides year-round leadership and coordination for the district’s transportation and food service operations. This position ensures that both departments operate safely, efficiently, and in compliance with district policy and applicable state and federal requirements. The Coordinator manages schedules, records, budgets, reporting, vendors, applications, audits, and day-to-day operational needs while working closely with district staff, families, regulatory agencies, and third-party service providers. Duties: The Transportation/Food Service Coordinator, with commensurate authority, is responsible for the fulfillment of the duties set forth below. The Coordinator may delegate appropriate tasks and authority; however, the Coordinator may not delegate or relinquish overall responsibility or accountability. Transportation: Coordinates district transportation schedules, routes, activity-trip requests, driver assignments, and timely communication with staff, drivers, students, and families. Maintains accurate transportation records, including motor vehicle reports, driver qualifications, licenses, CPR credentials, training, drug and alcohol testing, mileage, fuel use, pre-trip inspections, evacuation drills, and other required documentation. Ensures drivers and other employees who transport students complete required annual training, background reviews, testing, and certification requirements before driving. Maintains transportation technology systems; enters students, routes, trip information, attendance, and schedule changes accurately and promptly. Issues and tracks vehicle keys, radios, tablets, and other transportation equipment used for routes and activities. Reconciles monthly mileage, inspection, fuel-card, and fuel-receipt records; verifies accuracy and maintains records according to retention requirements. Coordinates vehicle maintenance and repairs, maintains a complete service history for each vehicle, and supports the purchase or sale of district vehicles when directed. Monitors transportation operations for compliance with district policy and applicable local, state, and federal safety requirements. Food Service: Coordinates the district’s food service programs, including the School Nutrition Program, Summer Food Service Program, Child and Adult Care Food Program, Fresh Fruit and Vegetable Program, and food service management company contract. Completes required annual applications, renewals, public notices, direct-certification processes, free and reduced-price meal applications, health-inspection requests, site monitoring, and program reports within established deadlines. Submits monthly reimbursement claims and maintains accurate documentation for each food service program. Reviews and reconciles monthly financial statements and food service records, verifies accuracy, and signs required documents. Maintains student and staff meal accounts, lunch cards, eligibility data, payments, menus, kiosks, and cafeteria communications. Prepares for and participates in state, federal, and annual program audits; maintains organized supporting documentation and promptly addresses required corrective actions. Completes required annual professional standards training and ensures food service operations comply with district policy and applicable state and federal requirements. Department Coordination and Business Operations: Develops, monitors, and manages transportation and food service budgets in coordination with the district business office; tracks expenditures, revenues, reimbursements, contracts, and operational needs. Works with third-party companies, contractors, and vendors to ensure district needs are met accurately, properly, and promptly; monitors service quality and follows up on unresolved concerns.
