Track and Trace Coordinator

Job Overview Shippers Preferred is an asset-based trucking company in Phoenix, AZ, and we are hiring a Track and Trace Coordinator to keep every load on our fleet visible from pickup to delivery. In this role you will run check calls with our drivers, send status updates to our customers, and collect and upload PODs, BOLs and load photos so every load file is complete the day it delivers. You will work in Axon, our transportation management system, and Samsara, our ELD and GPS platform, alongside our dispatch team. This is an entry-level operations seat with a direct path to dispatch for the person who keeps clean files and catches late loads before the customer does. Responsibilities Monitor all active loads in Axon and Samsara to confirm location, ETA and on-time status throughout the day. Make scheduled check calls to company drivers and owner-operators (morning, midday and end of day, plus any time a load is at risk) and enter each update in Axon the same hour you receive it. Compare the driver's reported position against Samsara GPS and flag any load trending late to the dispatcher before the appointment is missed. Send shipment status updates to customers by email, portal or phone on the schedule each account requires, and answer inbound "where's my truck" calls with a current, accurate answer. Notify customers of delays, reschedules and delivery issues once dispatch has a plan, using the company's standard notice format. Collect signed BOLs, PODs, lumper receipts, scale tickets and load photos from drivers at pickup and delivery, and upload them to Axon against the correct load number within 24 hours. Chase missing or unreadable paperwork with drivers until the load file is complete, and confirm every delivered load is document-complete before it goes to billing. Record breakdowns, accidents, weather holds, detention, OS&D and refused freight as they are reported, log detention start and stop times with supporting proof, and hand them to dispatch. Keep load notes current in Axon so anyone on the floor can pick up the file and know what happened. Maintain the daily load board and end-of-shift status report, and hand off open items to the next shift or on-call dispatcher with clear notes. Requirements High school diploma or GED. Comfortable on the phone all day with drivers who are tired, lost or frustrated, and with customers who want an answer now. Organized enough to keep 40+ active loads straight without letting documents pile up. Clear written English for customer emails and load notes. Proficiency in Microsoft Excel and Outlook, with accurate typing for data entry. Able to learn Axon TMS and Samsara quickly; prior experience with either is a plus. Reliable attendance and the ability to work the posted shift, including the rotating after-hours phone rotation. Able to pass a background check. Preferred 6–12 months in dispatch, brokerage, trucking customer service or a warehouse office. Experience with a TMS (Axon, McLeod, TMW/Trimble or similar) and an ELD platform (Samsara, Motive, Omnitracs). Bilingual English/Spanish. Basic understanding of hours-of-service rules and what a BOL and POD are for. Job details Job type: Full-time, hourly, non-exempt, in-person Schedule: Monday–Friday, 5:00 AM – 2:00 PM, with a rotating week of after-hours phone support. Overtime paid when the freight requires it. Pay: $19.00 – $22.00 per hour depending on experience. Bilingual or prior dispatch experience lands at the top of the range.
