Therapy Operations and Payroll Manager
Compensation: Base annual salary between $65,000-$80,000 paid bi-weekly
Employment Type: W-2 Full-Time Employee; Exempt
Schedule: Ideal working hours Monday-Friday 9am-5pm
Location: This is an in person position based out of Denver, CO

Role Summary
The Therapy Operations and Payroll Manager serves as an integral link between operational oversight for the organization’s therapy department and cross-sectoral management of payroll functions. This role ensures consistent, accessible, and trauma-informed delivery of care for the organization’s therapy service line, while ensuring the program runs effectively and efficiently. In addition to operational oversight, this position oversees day-to-day appointment execution, new patient intake workflow and effectiveness, payroll processing, and aligning services with the enterprise's needs.
Key Responsibilities:
Payroll & Vendor Management
- Administer payroll processes, ensuring accuracy, timeliness, and compliance with labor laws.
- Collaborate with HR and Finance to align payroll with staffing models, budget, and track individual stipends.
- Appropriate CME Funds (both monetary and time).
- Manage accounts payable functions: vendor setup, invoice processing, autopay accounts, and receipt tracking.
- Collaborate with finance partners to ensure timely payment of invoices and reimbursements.
Human Resources Administration
- Coordinate onboarding processes, including new hire paperwork, Paylocity training, and benefits enrollment.
- Serve as a liaison between employees and benefit/401k specialists.
- Manage employee leaves (FAMLI, bereavement, etc.).
- Maintain accurate and confidential employee records and required employment documentation.
- Act as a first point of contact for HR inquiries, escalating issues as appropriate.
- Partner with student coordinator to facilitate student preceptorships across locations.
Operational and Performance Oversight of Therapy Program
- Metrics & Financials: Assist in driving operational success by managing KPIs, budget attainment, and team performance.
- Therapy Service Line Operational Leadership: Lead and oversee operational support of the Therapy clinical team to deliver high-quality patient care through effective performance management, billing excellence, recognition, and retention efforts.
- Facilitate regular team meetings to ensure clear, bi-directional communication between clinical staff and organizational leadership.
- Cross-Departmental Engagement: Build and maintain healthy relationships between the Therapy Department and the other service lines in the DWA Ecosystem.
o Ensure daily scheduling needs are met
o Proactively identify operational challenges that implicate cross-sectoral
collaboration. - Operational Excellence: Collaborate with Practice Manager, CMO, Clinic Director, and Clinical Therapy Supervisor(s) to ensure quality operations.
- Intermediary: Act as the liaison between Clinicians, Therapy Supervisors, ARC leadership, and support staff when issues/concerns arise, providing guidance and appropriate follow-up actions.
Recruitment & Onboarding Liaison
- Coordinate recruitment efforts between ARC designated Recruitment Officer.
- Support & Coordinate Onboarding to ensure smooth and effective integration for new employees and providers.
Office & Event Management
- Maintain office supply inventory across all locations.
- Plan and coordinate staff events, including happy hours, all-staff meetings, and holiday parties.
- Manage event budgets, invoice approvals, and cost tracking.

- Compensation: Base annual salary between $65,000-$80,000 paid bi-weekly, commensurate with experience, scope, and market location.

Therapy Operations & Payroll Manager Requirements
- Bachelor’s degree in Business Administration, Healthcare Management, or related field (preferred).
- 3+ years of experience in operations management, HR administration, or healthcare leadership.
- Strong knowledge of payroll, HR processes, and accounts payable functions.
- Proficiency with Paylocity, Google Workspace, and EHR system
- Excellent organizational, communication, and problem-solving skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
