Studio Operations & Project Expeditor Reports to : Procurement Manager Location : San Francisco Bay Area (On-site) Type : Full-time, Hourly Caitlin Jones Design is an award-winning interior design studio known for timeless, refined residential spaces. Based in the San Francisco Bay Area and Seattle, our team works on full-service design and custom projects throughout California and beyond. We are seeking an experienced, detail-oriented Studio Operations & Project Expeditor to support our interior design studio through efficient procurement, logistics coordination, vendor communication, and product tracking. About the Role Studio Management & Operations ● Maintain the organization of the design materials library, workspace, and shared kitchen. ● Receive, sort, and distribute all incoming mail, packages, and product deliveries. ● Track and manage utility and office-related billing, including internet, cleaners, and landlord communications. ● Support the studio owner with ad-hoc property management tasks. Procurement & Project Expediting ● Apply for and maintain trade accounts with various vendors and showrooms. ● Request quotes and prepare detailed proposals for furniture, lighting, plumbing, and finishes. ● Enter and place all purchase orders accurately and on schedule. ● Track all goods ordered, maintaining complete documentation and reviewing weekly procurement reports to flag issues proactively. ● Manage claims, damages, returns, replacements, and warranty coordination. Logistics & Project Support ● Coordinate scheduling with vendors, tradespeople, and white-glove delivery services. ● Communicate with freight companies and receivers to ensure accurate and timely deliveries. ● Review products at the receiver for quality and accuracy, escalating any discrepancies. ● Run errands and complete local deliveries/pickups across the Bay Area. ● Assist with photoshoot logistics, including styling, sourcing props, and onsite setup/breakdown.
