The Special Projects and Operations Lead is a mid-level, hands-on role designed to support senior leadership and help keep the organization running smoothly. This person will serve as a utility player across a wide range of needs, including project coordination, administrative support, communications, marketing support, and day-to-day operations.
 
The right candidate is highly organized, proactive, adaptable, and comfortable managing multiple priorities at once. They are someone who enjoys variety, follows through, and helps turn ideas and priorities into action.
 

Key Responsibilities

  • Support senior leadership with scheduling, coordination, follow-up, and execution on key priorities

  • Manage and support special projects from planning through completion

  • Prepare agendas, presentations, meeting materials, notes, and follow-up action items

  • Track deadlines, deliverables, and next steps across multiple workstreams

  • Help improve internal processes, team coordination, and operational efficiency

  • Support internal communications and help keep teams aligned

  • Provide administrative support as needed

  • Assist with onboarding, event coordination, and other team logistics

  • Support marketing and communications projects such as collateral updates, website coordination, social media support, and event materials

  • Step into new needs quickly and provide practical support wherever needed

Qualifications

  • 4 to 8 years of relevant experience in operations, project coordination, executive support, communications, marketing support, or a related role

  • Strong organizational and project management skills

  • Excellent written and verbal communication

  • Ability to manage many moving pieces with strong attention to detail

  • Strong judgment, professionalism, and discretion

  • Comfortable working with senior leaders and across teams

  • Proficient in Google Workspace, Microsoft Office, and common project management tools
