Shipping & Receiving Specialist

POSITION SUMMARY KALLATI is seeking a hands-on, resourceful, and highly organized Shipping & Receiving Specialist to support the daily coordination, shipping, receiving, and distribution of marketing materials and other business-related shipments. This position will primarily focus on managing marketing and promotional materials, including brand books, packaging boxes, point-of-sale displays, shopping bags, promotional giveaways, and other materials distributed to retail partners, sales representatives, and business contacts. Fine jewelry industry experience is not required. We welcome candidates with backgrounds in shipping and receiving, logistics, warehouse operations, inventory coordination, fulfillment, or related fields. The ideal candidate is scrappy, adaptable, flexible, and comfortable working in a dynamic environment where priorities and responsibilities may shift throughout the day. We are looking for someone who takes initiative, solves problems independently, and is willing to roll up their sleeves to get things done. Success in this role requires strong attention to detail, confidence working with Excel and spreadsheets, hands-on experience with online shipping platforms, and the ability to coordinate domestic and international shipments efficiently. ESSENTIAL JOB RESPONSIBILITIES Shipping, Receiving & Logistics Prepare, package, label, and coordinate outgoing shipments of marketing materials, promotional items, packaging supplies, and other business-related materials. Receive incoming shipments, verify quantities and contents against packing lists, and ensure materials are properly documented and stored. Create domestic and international shipping labels using online carrier platforms such as FedEx, UPS, DHL, and other shipping systems. Coordinate shipments with carriers, vendors, sales representatives, retail partners, and internal departments. Track shipments, monitor delivery statuses, and proactively resolve shipping delays, missing packages, or delivery discrepancies. Assist with international shipping requirements, including preparation of shipping documentation and customs-related paperwork when needed. Marketing Materials & Inventory Coordination Organize, maintain, and distribute marketing materials, including brand books, boxes, point-of-sale displays, shopping bags, packaging materials, and promotional giveaways. Monitor available quantities of marketing supplies and coordinate replenishment needs. Maintain accurate records of materials received, stored, distributed, and shipped. Use Microsoft Excel and spreadsheets to track inventory levels, shipment activity, distribution records, and other logistics information. Keep storage and shipping areas organized, accessible, and properly maintained. Support preparation and distribution of materials for retail partners, sales initiatives, promotional campaigns, and special events. General Operations & Team Support Provide occasional shipping, receiving, or operational assistance related to fine jewelry inventory and other business needs. Collaborate with internal teams to support changing operational priorities. Assist with special projects, inventory organization, and other hands-on tasks as needed. Cross-train and support colleagues during busy periods or staffing absences. Identify opportunities to improve shipping processes, organization, and workflow efficiency. Maintain accurate documentation and follow established shipping, inventory, and security procedures. QUALIFICATIONS 2+ years of experience in shipping, receiving, logistics, fulfillment, inventory coordination, warehouse operations, or a related field preferred. Working proficiency in Microsoft Excel and spreadsheets is required, including entering and updating information, tracking materials, organizing records, and confidently navigating spreadsheets.
