Shipping & Receiving Coordinator – Event Production

WHAT YOU’LL DO // Position Type: Full-Time Department: Shipping & Receiving / Warehouse Reports To: Warehouse Manager Pay Start: $18-$20 per hour Work Schedule: Monday - Friday 8am - 5pm, Sometimes Weekends. We are seeking a dependable, detail-oriented Shipping & Receiving Clerk to join our team. The primary focus of this role is coordinating shipping and receiving company-wide, with general warehouse support as a secondary responsibility. This position is responsible for accurately receiving incoming materials, verifying shipments, preparing outgoing orders, maintaining inventory records, and ensuring that all products are handled and shipped safely, accurately, and on time. The ideal candidate is organized, reliable, comfortable working in a fast-paced environment, and committed to maintaining accuracy and efficiency throughout the shipping and receiving process. QUALIFICATIONS // High school diploma or equivalent preferred. Previous shipping, receiving, warehouse, or inventory experience preferred. Basic computer skills and the ability to use inventory or shipping software. Strong attention to detail and organizational skills. Ability to read and understand purchase orders, packing slips, and shipping documents. Good communication skills and the ability to work independently or as part of a team. Ability to lift and move materials as required, with or without reasonable accommodation. Forklift experience or certification is a plus. Able to lift 50+lbs. Skills for Success Accuracy and attention to detail Time management and dependability Problem-solving and communication Inventory control and recordkeeping Commitment to workplace safety Ability to manage multiple priorities KEY RESPONSIBILITIES // Shipping Prepare, package, label, and process outgoing shipments according to company procedures. Verify order quantities, part numbers, descriptions, and shipping documentation for accuracy. Schedule pickups and coordinate shipments with carriers and delivery services. Prepare bills of lading, packing slips, shipping labels, and other required documentation. Ensure shipments are properly packaged, secured, and dispatched on time. Maintain shipment tracking and proactively communicate tracking information, estimated arrival times, and delays to the appropriate teams. Coordinate inbound and outbound shipments for subrentals, vendor returns, and factory service, working with the responsible departments. Track shipping costs and identify practical ways to reduce costs without increasing risk or compromising delivery timelines. Create and maintain shipping checklists and standards with the Warehouse Manager, and help train others on basic shipping procedures as needed. Receiving Receive incoming materials, products, and supplies. Inspect shipments for damage, shortages, and discrepancies. Verify received items against purchase orders, packing slips, and other documentation. Record receipts accurately in the inventory system. Report damaged goods, missing items, and incorrect shipments to the appropriate personnel. Document shipment damage or loss, file carrier claims, and follow up through resolution, keeping the appropriate personnel informed. Inventory & Warehouse Operations Maintain organized shipping and receiving areas. Label, identify, and properly store incoming materials. Assist with inventory counts and investigate inventory discrepancies as shipping and receiving workload permits. Maintain accurate records and ensure materials are traceable when required.
