Schedule : Part Time (minimum of 28 hours/week), Temporary (3 months) Under the supervision of the Warehouse Operations Manager, the Museum Store Shipping & Receiving Clerk is responsible for shipping, receiving, and providing direct support to ensure the efficient operation of warehouse activities and the delivery of effective customer service to effectuate the sales goals of the Museum Store. Shipping & Receiving Clerks rely heavily on interdepartmental communication with buying and sales floor team. This position directly impacts Museum Store sales by maintaining, shipping, and receiving all store merchandise in addition to supporting web store order fulfilment. Responsibilities & Duties Verify purchase order data, new vendor information, complete data entry and invoice reconciliation using Teamwork, an inventory management system. Process all incoming shipments, including preparing necessary shipping documents and other related paperwork; packing and unpacking of shipments; labeling of merchandise; accurate receipt of goods; and maintaining stock and shipping areas. Maintain vendor, purchase order, and publisher files, including digital record keeping. Reconcile discrepancies in vendor information. Process wholesale, mail, and telephone orders and related paperwork. Prepare invoices for payment and process credits to accounts resulting from damaged or incorrect merchandise. Prepare labels and assist in coordinating the movement of merchandise from the stockroom to the sales floor. Maintain neat appearance of the store by organizing supplies, shelves, and displays, straightening merchandise. Communicate problems and suggestions to supervisors and buyers. Process retail orders – web, mail, telephone as well as wholesale orders, in-store pickup and RTVs. Prepare for safe transport all domestic and foreign shipments. Maintain paperwork and digital records on all shipments including order forms, back order records, wholesale accounts, mailing labels, foreign documents, insurance forms etc. Track all orders shipped and resolve all related problems. Maintain cost analysis log of all shipping activities, verifying UPS/USPS/FEDEX and other shipping service bills. Coordinate all wholesale orders through the generation of invoices, preparation of pallets, arrangement of trucking services, input maintenance of Accounts Payables in computer data base; weekly analysis of business performance; and monitoring of shipping costs. Set up new accounts, check credit references for new accounts and maintain up to date information regarding the status of all accounts to ensure the payment schedules are adhered to.
