Shipping & Fulfillment Specialist – E-Commerce
WellSocietyAbout the Role We are seeking a highly organized, detail-oriented, and reliable Shipping & Fulfillment Specialist to manage the daily shipping, packaging, inventory, and order fulfillment operations of our growing peptide e-commerce company. The ideal candidate has previous experience in e-commerce fulfillment, pharmacy operations, pharmaceutical distribution, laboratory supply, medical products, or a similar environment where accuracy, organization, and careful product handling are essential. This is a hands-on, on-site position in Miami Beach, Florida. You will be responsible for ensuring that every order is accurately processed, professionally packaged, shipped on time, and properly tracked from order placement through delivery. We are looking for someone who can take ownership of the fulfillment process, work independently, and maintain an organized and efficient operation. Key Responsibilities *Order Processing & Shipping* Process daily customer orders through WooCommerce, ShipStation, Amazon, and other applicable platforms. Generate, print, and verify shipping labels, packing slips, and order documentation. Accurately pick, pack, label, and prepare customer orders for shipment. Coordinate daily shipments through FedEx, DHL, and other shipping carriers. Arrange carrier pickups or drop off packages at designated shipping locations when necessary. Ensure all orders are shipped accurately and within established timelines. Monitor shipment tracking, delivery confirmations, delays, and shipping exceptions. Investigate and resolve shipping errors, missing packages, and damaged shipments. Handle priority, expedited, and special orders as needed. *Inventory Management & Product Ordering* Maintain accurate inventory records for all products, packaging materials, and shipping supplies. Monitor stock levels and proactively identify products requiring replenishment. Coordinate product and supply orders with approved vendors and suppliers. Track incoming purchase orders and expected delivery dates. Receive incoming shipments, verify quantities, and inspect products for accuracy and condition. Organize and maintain inventory using appropriate storage and labeling procedures. Perform regular inventory counts and reconcile discrepancies between physical stock and system records. Track product lot numbers, expiration dates, and inventory movement when applicable. Prevent stockouts, unnecessary overordering, and fulfillment delays. *Packaging & Quality Control* Ensure all products are packaged securely, consistently, and according to company standards. Inspect product labels, packaging, quantities, and order details before shipment. Maintain high standards of accuracy, cleanliness, and presentation. Handle sensitive or specialized products according to established storage and handling requirements. Verify product identification, lot numbers, and expiration dates when applicable. Maintain organized packaging stations, shipping supplies, and storage areas. Follow documented standard operating procedures (SOPs) for product handling, packaging, and fulfillment. Product Sourcing & New Product Launches Research, identify, and source new suppliers and manufacturers for upcoming product launches, including packaging boxes, bottles, caps, labels, shipping materials, and other product components. Request and compare quotes from multiple vendors to secure the best pricing, quality, and production timelines. Negotiate pricing, minimum order quantities (MOQs), lead times, and purchasing terms with suppliers. Coordinate product samples, packaging specifications, and manufacturing requirements before placing orders. Manage purchasing and procurement for new product launches, ensuring all materials arrive on time and within budget. Maintain a database of approved suppliers, pricing, lead times, and alternative sourcing options.
