Shipping Coordinator

About the Role The Shipping Coordinator handles our daily inbound/outbound shipping documentation and is a daily point of contact for customer emails. You will make sure every shipment leaves on time with accurate paperwork, and that customers get fast, accurate answers on inventory, product status, expedites, and delays. Outbound Review daily customer releases in portals and EDI; create orders and pick tickets in our WMS Prepare Bills of Lading, packing lists, and shipping labels; send ASNs and schedule carrier pickups Prepare customer invoices for shipments and related services Check paperwork against loaded quantities with the warehouse team; file shipping records and proof of delivery Inbound Print receiving documents and inbound labels; enter receipts into our WMS and verify quantities against packing lists and ASNs Perform regular inventory counts and reconcile results with the WMS Communicate with suppliers, carriers, and customers on arrivals, discrepancies, and damage Daily Customer Communication Answer customer emails every day, typically within the same business day Inventory and product status: on-hand and on-hold quantities, receiving, inspection, repack, and release status Expedites: confirm available stock, coordinate rush picking and premium freight, and confirm ship time Delays and shortages: notify customers before ship time with the reason, recovery plan, and new ETA Shipment status (tracking, BOL, POD, ETA); escalate complaints and non-standard requests to the Customer Service Manager What We're Looking For High school diploma or GED; 1–2 years in shipping, receiving, logistics, or customer service in a warehouse, 3PL, or manufacturing setting Familiarity with BOLs, packing lists, ASNs, invoices, and receiving documents Comfortable with Excel, Outlook, and working in multiple web portals every day Clear, professional business email writing in English Strong attention to detail; calm and responsive under daily cutoffs and urgent requests Nice to Have Automotive EDI or OEM portal experience (Ford, CAT, Paccar, Cummins, etc.); WMS (RAMP, Extensiv) or BarTender experience Chinese (Mandarin) language skills Physical Requirements Regular walks on the warehouse floor (safety shoes and high-visibility vest required); occasionally lift up to 25 lbs Benefits Health insurance available | 10 paid holidays per year We provide full training on our systems and customer requirements.
