Shipping Associate Location: Pampa, TX Company: SWM Technologies LLC Position Summary The Shipping Associate is responsible for coordinating shipping activities across SWM Pampa, SWM Midland, and Advanced Perf. This position works closely with production, sales, accounting, and other departments to ensure shipments are scheduled, documented, and tracked accurately and efficiently. Key Responsibilities Production Shipping Maintain open communication with the Production Planner regarding shipping schedules and priorities. Coordinate shipments with outside transportation companies, including hot shot services and freight carriers. Research new transportation providers and assist with updating contracts as needed. Communicate with the Sales Department regarding hot shot scheduling and payment responsibilities. Prepare and print bills of lading (BOLs), packing slips, and shipping labels. Provide SWM truck drivers with required shipping documentation and collect proof of delivery (POD) upon their return. File BOLs and PODs with the corresponding sales orders in QuickBooks and provide physical copies to Accounts Receivable. Maintain shipping punch lists and documentation in Microsoft Teams. Accounting Support Submit outside shipping quotes, including hot shot and freight costs, to Accounting. Ensure BOLs and PODs are accurately filed and provided to Accounts Receivable. Additional Shipping Responsibilities Coordinate shipping requests for all SWM departments, including Maintenance, Engineering, and other internal operations. Provide tracking information for outgoing shipments. File and follow up on claims for lost or damaged shipments. Assist with other shipping and administrative duties as assigned. Qualifications & Requirements Previous shipping, logistics, or administrative experience preferred. Experience using Microsoft Teams, Excel, and Outlook required. Basic computer skills and ability to learn shipping software and QuickBooks. Strong organizational skills with attention to detail and accuracy. Ability to communicate effectively with internal departments, vendors, and transportation providers. Ability to manage multiple tasks and prioritize shipments in a fast-paced manufacturing environment. Must be able to work independently and collaboratively with multiple departments. Must be eligible to obtain and maintain required ATF clearance or authorization , as applicable to the position. Additional Expectations Maintain accurate shipping records and documentation. Communicate shipping delays, issues, or changes promptly. Follow all company safety, security, and shipping procedures. Maintain confidentiality of company and customer information. 6am to 6pm M-F, Saturday as needed
