We are seeking an organized, customer-focused individual with a strong background in service writing and experience in parts operations, preferably within the automotive, heavy-duty, or industrial equipment industry. Responsibilities Serve as the primary point of contact for service customers, coordinating service requests, scheduling repairs, and providing updates on work progress. Open, manage, and close service work orders, ensuring accurate documentation of labour, parts, and completed repairs. Communicate with technicians and customers to coordinate service work, prepare repair estimates, and obtain necessary approvals. Prepare customer quotes, process orders, and maintain accurate service records. Assist with parts identification, sourcing, ordering, receiving, and inventory management as required. Coordinate parts availability with technicians to support timely completion of service work. Perform administrative tasks, including invoicing, purchase orders, and recordkeeping using Intellidealer/CDK. Collaborate with Head Office regarding timesheets, invoices, safety documentation, and other applicable administrative requirements. Participate in cross-training to support other departments and assist with additional duties as required, including coverage during employee absences, vacations, or periods of increased workload. Act as the Branch Health & Safety Lead, coordinating safety documentation, communication, and activities with the Head Office Health & Safety Officer. Follow all company safety policies and PPE requirements. Requirements and Skills Previous service writing or service coordination experience is required. Previous parts experience, including parts identification, sourcing, ordering, or inventory management. Mechanical knowledge or experience within the automotive, heavy-duty, commercial vehicle, or industrial equipment industry. Excellent customer service, communication, and organizational skills. Ability to manage multiple service requests, prioritize tasks, and work effectively with technicians and customers. Strong attention to detail, particularly with work orders, estimates, parts orders, and invoicing. Computer proficiency; experience with Intellidealer/CDK or similar dealership management software is an asset. Willingness to participate in cross-training and assist in other departments as needed. Valid driver's licence and clean driver's abstract. Forklift experience or certification is an asset. Ability to lift and carry up to 50 lbs and push/pull up to 300 lbs.
