Service Writer – Diesel Repair Shop
Pal Pro Fleet ServicesPosition Summary The Service Writer serves as the primary point of contact between customers and the service department. This position is responsible for accurately documenting customer concerns, preparing repair estimates, and ensuring a high level of customer satisfaction throughout the repair process. The ideal candidate is organized, customer-focused, and knowledgeable about commercial truck maintenance and repair. Key Responsibilities · Greet customers and gather detailed information regarding vehicle issues and repair requests. · Create and maintain accurate repair orders in the shop management system. · Communicate repair recommendations, estimates, and timelines to customers. · Obtain customer authorization for repairs and additional work. · Schedule service appointments and manage workflow to maximize shop efficiency. · Coordinate with technicians to monitor repair progress and communicate updates. · Order parts or coordinate with the parts department to ensure timely repairs. · Review completed work orders for accuracy before customer pickup. · Prepare invoices and explain completed repairs to customers. · Handle customer questions, concerns, and warranty issues professionally. · Maintain accurate customer records and service history. · Promote preventive maintenance programs and recommend additional services when appropriate. · Ensure compliance with company policies, safety standards, and manufacturer guidelines. · Follow all company policies and safety procedures. Qualifications · High school diploma or GED required. · Previous experience as a Service Writer, Service Advisor, or in a commercial truck repair environment preferred. · Strong customer service and communication skills. · Excellent organizational and multitasking abilities. · Basic computer proficiency · Ability to work in a fast-paced environment while maintaining attention to detail. · Valid driver’s license preferred. Skills · Knowledge of diesel engines, heavy-duty trucks, trailers, and repair terminology a plus. · Familiarity with repair shop/service management software such as ShopView, ShopMonkey, etc., a plus · Ability to interpret technician recommendations and explain them to customers · Basic understanding of parts sourcing, ordering, and inventory management · Problem-solving and critical thinking · Time management and organization · Ability to prioritize multiple tasks · Team collaboration · Basic math and estimating skills · Familiarity with Microsoft Office and service management software Physical Requirements · Ability to stand, walk, and sit for extended periods. · Occasional lifting of up to 25 pounds. · Ability to work in an office environment connected to an active repair shop. Work Schedule · Part-time · Monday through Friday (hours may vary) · Occasional overtime or Saturday work as needed Success in This Role A successful Service Writer builds strong customer relationships, communicates effectively with technicians and customers, keeps repair orders organized, maximizes shop productivity, and contributes to the overall profitability and reputation of the repair facility. Pay: $18.00 - $28.00 per hour Expected hours: 20.0 – 24.0 per week Work Location: In person
