Job Summary: The Service, Parts & Logistics Coordinator supports 2G Energy’s Puerto Rico and Caribbean service operations by coordinating customer requests, technician schedules, service administration, parts inventory, purchasing, and shipping. Reporting to the Service Manager, this individual contributor works approximately 90% of the time in the office. The remaining time supports warehouse activities and occasional local parts pickups or deliveries when technicians cannot collect the required parts. The role keeps service work organized, documented, and supplied to minimize equipment downtime. Essential Job Functions: Service Coordination and Customer Support · Serve as the first point of contact for customer and technician inquiries; communicate status updates and route technical issues to qualified personnel. · Coordinate daily technician schedules, dispatch, repairs, and preventive maintenance with the Service Manager; confirm site access, labor, and parts readiness. · Prioritize unit-down requests with the Service Manager, expedite required parts, and keep customers and technicians informed of delivery and service status. · Prepare service and parts quotations, estimates, and proposals; follow up with customers and obtain required approvals before processing orders. · Coordinate parts and labor warranty claims, including documentation, submission, tracking, returns, and follow-up through resolution. Parts Inventory and Purchasing · Maintain accurate inventory records, storage locations, and customer-specific parts lists; verify part numbers and superseded items using OEM information and technician input. · Forecast parts requirements from planned maintenance and open service needs; monitor stock levels, reorder points, shortages, and slow-moving inventory. · Conduct cycle counts, reconcile discrepancies with appropriate approval, and record receipts, issues, transfers, returns, and warranty parts movements. · Prepare purchase orders, obtain supplier quotations, compare pricing and lead times, and source approved local balance-of-plant supplies within purchasing authority. · Keep parts storage clean, labeled, and organized; prepare and verify service kits and parts orders ahead of scheduled work. Logistics and Delivery Support · Coordinate receiving, picking, packing, and shipping for service and project needs; verify quantities, condition, part numbers, and delivery addresses. · Arrange appropriate freight service, maintain shipping and receiving records, and communicate costs, tracking numbers, delivery dates, and exceptions. · Coordinate domestic and international shipments with carriers, suppliers, and 2G teams in the United States and Germany; obtain required shipping documentation. · Coordinate priorities with Service and Project Management, identify workflow improvements, complete product training, and perform other related duties as assigned.
