Service Parts Coordinator
Ideal Partners StaffingWe are seeking a Service Parts Coordinator to support field service teams, project managers, manufacturers, and suppliers. This position will coordinate replacement parts, warranty claims, returns, and material logistics while keeping internal teams updated throughout the process. The ideal candidate has experience in electrical equipment, field service, project coordination, parts coordination, or a related technical environment and is comfortable communicating with both technicians and manufacturers. Key Responsibilities Coordinate replacement parts and materials for field service and customer projects, including warranty and damaged-component replacements. Communicate directly with manufacturers, suppliers, and vendors to initiate replacement and warranty requests. Gather technical information, documentation, photographs, serial numbers, and other details required to process warranty claims and replacement orders. Communicate regularly with Service Technicians, Project Managers, and internal operations teams regarding parts availability, order status, delivery schedules, and project needs. Track parts and materials from initial request through delivery, installation, return, or replacement. Coordinate the return of defective, damaged, or repairable components from field locations. Follow up with technicians and project teams to ensure required components are returned within established timelines. Coordinate warranty returns to manufacturers and follow up on replacement or repair status. Maintain accurate documentation and records related to parts, warranty claims, returns, and project materials. Provide timely status updates and help resolve material or logistical issues that could impact field service or project schedules. Follow established procedures for project communication, scheduling, reporting, and documentation. Work closely with internal teams and external vendors to keep projects moving and minimize delays. Qualifications & Skills 3–5 years of experience in project coordination, service coordination, parts coordination, electrical, or a related technical field preferred. Strong written and verbal communication skills. Excellent follow-up and organizational skills with the ability to manage multiple open requests simultaneously. Strong customer-service mindset and professional communication skills. Ability to communicate effectively with field technicians, project managers, manufacturers, and suppliers. Experience working with electrical equipment or engineered equipment is a plus. Ability to understand technical information and serve as a resource to internal teams regarding equipment, parts, and materials. Proficiency with Microsoft Office, particularly Excel and Outlook. Experience with ERP, inventory, service-management, or job-management software preferred. Ability to read and understand electrical one-lines, equipment documentation, and material take-offs is a plus. Strong attention to detail and the ability to track multiple parts, orders, returns, and warranty claims at the same time. Self-motivated, dependable, and comfortable working in a deadline-driven environment. Someone who understands how equipment, parts, manufacturers, and field technicians interact will be especially valuable in this role.
