Job Description:

The Senior Office Manager is responsible for overseeing the day-to-day operations of dental office locations, ensuring that each office functions efficiently, provides exceptional patient care, and meets business goals. This position involves managing a team of office staff, maintaining office systems, overseeing financial operations, and ensuring compliance with dental regulations. The Senior Office Manager plays a key leadership role in creating a positive patient experience, improving office workflow, and ensuring operational success across all locations.  


Responsibilities:

  • Supervise, train, and support office managers and front-office staff across multiple locations. 
  • Provide leadership to ensure staff performance aligns with the office’s goals and values. 
  • Conduct regular performance evaluations and provide feedback to encourage professional growth and maintain high staff morale. 
  • Ensure proper staff scheduling to meet the needs of each location, including managing time off, ensuring adequate coverage, and handling emergencies. 
  • Handle employee issues, conflicts, or disciplinary actions according to company policies and procedures. 
  • Oversee the daily operations of assigned each office locations, ensuring efficient patient flow, optimal staff utilization, and effective use of resources. 
  • Ensure that all locations comply with health, safety, and legal regulations, including infection control protocols, HIPAA standards, and local/state dental requirements. 
  • Monitor and analyze office performance metrics, identifying areas for improvement and developing solutions to increase efficiency and profitability. 
  • Oversee patient billing and insurance processing, ensuring accuracy and timely submission of claims. 
  • Ensure that each office location provides an exceptional patient experience by managing front-office operations, patient communication, and appointment scheduling. 
  • Address and resolve patient complaints or concerns promptly, ensuring positive outcomes and maintaining high levels of patient satisfaction. 
  • Work closely with the clinical team to ensure patients receive timely and high-quality care. 
  • Ensure all locations comply with industry regulations and best practices, including ADA standards, OSHA requirements, and HIPAA. 



Requirements
  • High school diploma or equivalent required; bachelor’s degree in business administration, healthcare management, or a related field preferred. 
  • Minimum of 5 years of experience in dental office management, with at least 3 years in a supervisory role overseeing multiple locations or a large team. 
  • Knowledge of dental office software, electronic health records (EHR), and practice management systems.
