Sample Fulfillment & Office Support Coordinator — Part-Time (NO REMOTE)

Job Overview Alva creates custom window treatments for homeowners and interior designers. We are looking for a reliable, organized, detail-oriented person to manage our sample fulfillment, fabric and office supply inventory, and sample production while supporting customer requests and follow-up. This role combines hands-on work with fabrics, daily order fulfillment, customer communication, and accurate recordkeeping. You will help ensure our customers receive beautifully prepared samples promptly and that our office stays stocked and organized. Responsibilities Prepare, pack, label, and ship daily sample orders accurately and on time. Create fabric swatch cards by measuring and cutting fabric, attaching swatches to cards, and applying the correct labels. Check completed samples for correct fabric names and colors, clean cuts, secure attachment, and consistent presentation. Monitor inventory of finished swatch cards, fabrics, blank cards, labels, packaging, and other sampling materials. Maintain accurate inventory records, conduct regular stock counts, and plan replenishment to prevent shortages. Monitor and replenish general office supplies, coordinating purchases and reorders with the team. Receive, check, label, and organize incoming fabrics, materials, and office supplies. Prepare sample kits and larger mailings for new collection launches and sampling campaigns. Follow up with customers who ordered swatches, answer questions, and help them with next steps. Assist with customer requests and coordinate with the appropriate team member when additional support is needed. Enter and update customer contact information and sample order details in HubSpot, keeping records accurate and complete. Use Microsoft Excel and Word to maintain inventory lists, tracking sheets, documents, and other office records. Balance daily fulfillment, customer follow-up, sample production, and campaign deadlines. Keep sampling workspaces, inventory storage, and office supply areas clean and organized. Required qualifications Fluent English, with strong verbal and written communication skills. Working proficiency in Microsoft Office, especially Excel and Word . Strong attention to detail and a consistent standard for neat, accurate work. Excellent organization, time management, and follow-through. Comfort working with measurements, quantities, and basic inventory calculations. Ability to perform repetitive hands-on tasks, including measuring, cutting, labeling, and assembling fabric samples. A friendly, professional approach to customer communication. Ability to maintain accurate digital records and learn order, shipping, and CRM systems. Ability to follow instructions, work independently, and communicate clearly with the team. Dependable attendance and availability to work in person five hours per day, Monday through Friday. Ability to perform the essential duties of fabric cutting, sample assembly, packing, and moving supplies, with reasonable accommodation as needed. Preferred experience Experience in order fulfillment, inventory management, customer service, or office support.
