We are currently seeking a Sales and Inventory Coordinator to be responsible for coordinating customer orders from receipt through production, inventory confirmation, dispatch, invoicing and payment follow up. The position serves as a key link between the Sales, Production, Inventory, Transportation and Administration teams. The role will also assist the sales team by monitoring production schedules, forecasting upcoming orders, maintaining accurate inventory records and identifying discrepancies between physical inventory and the company's Lumber Track (LT) system. This is a permanent, full-time position that requires the successful candidate to work in person. Key Responsibilities: Order Coordination: Process customer purchase orders, maintain accurate records in Lumber Track (LT), monitor order readiness and coordinate orders for production and shipment. Production Planning: Monitor planer and molder schedules, forecast upcoming lumber orders 1– 2 weeks in advance, and coordinate production requirements to meet customer commitments. Inventory Control: Verify inventory accuracy, investigate discrepancies between physical stock and LT, and maintain current product codes and inventory records. Dispatch & Freight: Coordinate ready orders with Dispatch, ensure shipping documentation and freight costs are recorded accurately, and communicate shipment changes or delays. Invoicing & Sales Support: Coordinate order invoicing, ensure invoices are properly documented, assist with correcting pricing, pack-size and freight errors, and provide invoice information to sales staff for review. Transportation & Rail Administration: Follow up on rail and shipment issues, incorrect freight invoices, rail ratings, damaged or delayed rail cars, and CN demurrage charges. Customer Claims: Coordinate mold and other product claims, maintain documentation, communicate with relevant departments, and follow claims through to resolution LT System & Data Accuracy: Maintain accurate order and inventory information, ensure supporting documents are attached to LT orders, and identify opportunities to improve system processes. Desirable Qualifications and skills: Previous experience in sales administration, order coordination, inventory control, logistics, production coordination or a related field. Strong organizational and time-management skills. Excellent attention to detail. Strong written and verbal communication skills. Ability to prioritize multiple orders and deadlines. Ability to work effectively with production, sales, transportation and administrative personnel. Strong computer skills, with proficiency in Microsoft Office Suite, including Microsoft Word, Excel, and related applications. The ability to quickly learn and effectively use inventory and order management systems. Experience with LT or similar inventory/order management software would be an asset. Experience in the lumber, manufacturing, transportation or industrial sector would be an asset. Ability to identify discrepancies and follow issues through to resolution. Ability to work independently while also contributing effectively as part of a team. Ability to maintain confidentiality and handle customer and company information appropriately.
