Transportation Safety & Compliance Coordinator – CALGARY
Position Summary
The Safety & Compliance Coordinator is responsible for supporting and maintaining the company’s transportation safety and compliance programs. This position ensures that drivers, vehicles, and transportation operations meet applicable federal, provincial/state, and company safety requirements.
The Coordinator will monitor compliance, maintain accurate records, assist with audits and investigations, coordinate driver and vehicle documentation, and promote a strong safety culture across the transportation operation.
Key Responsibilities Safety & Compliance
• Maintain and administer the company’s transportation safety and compliance program.
• Monitor compliance with applicable transportation legislation, regulations, and company policies.
• Maintain accurate and up-to-date driver qualification and compliance files.
• Review driver records, abstracts, licenses, medical certifications, training records, and other required documentation.
• Monitor driver hours-of-service and electronic logging records for compliance.
• Conduct regular reviews of vehicle inspection, maintenance, and defect records.
• Ensure required safety inspections, certifications, permits, and documentation are current.
• Track and follow up on outstanding compliance items and corrective actions.
• Assist with internal and external safety audits, inspections, and regulatory reviews.
Driver Safety & Training
• Coordinate with drivers for required information for onboarding and safety orientation.
• Maintain records of required driver training and certifications.
• Assist with developing and delivering safety training and toolbox talks.
• Communicate safety expectations, policies, and regulatory requirements to drivers and supervisors.
• Monitor driver performance and identify potential safety or compliance concerns.
• Support driver coaching and corrective action processes when required.
Incident & Claims Management
• Assist with the reporting, investigation, and documentation of transportation-related incidents, accidents, injuries, and near misses.
• Ensure incidents are reported to the appropriate internal departments and regulatory authorities when required.
• Maintain incident and accident records and track corrective actions.
• Assist with insurance claims and provide supporting documentation as required.
• Identify trends and recommend preventative measures to reduce accidents and safety incidents.
Documentation & Reporting
• Maintain organized and confidential safety and compliance records.
• Prepare regular safety and compliance reports for management.
• Track key performance indicators such as accidents, inspections, violations, incidents, training, and corrective actions.
• Maintain compliance calendars and ensure deadlines are met.
• Assist with the preparation of documentation for regulatory inspections and audits.
Continuous Improvement
• Identify opportunities to improve transportation safety, compliance, and operational procedures.
• Monitor changes to applicable transportation regulations and communicate relevant updates to management and employees.
• Assist in developing and updating safety policies, procedures, forms, and training materials.
• Promote a proactive safety culture throughout the organization.
Qualifications
• 3–5 years of experience in transportation safety, compliance, fleet administration, logistics, or a related field.
