RMA Administrator I
Mimaki USASummary: Responsible for processing customer orders, warranty orders, replacement orders, and product returns while supporting established Service Level Agreements and departmental performance objectives. Assists dealers and customers with order management, warranty requests, spare parts administration, and return processing in a timely and efficient manner. Provides administrative support, customer communication, data management, and process improvement support while maintaining accurate records and ensuring exceptional customer service. Essential duties and responsibilities include the following. Other duties may be assigned. Enter, review, and confirm customer orders for accuracy, completeness, pricing, and required documentation. Process warranty orders, replacement orders, spare parts orders, and product returns in accordance with company policies and procedures. Understand order entry, warranty, and RMA processes and procedures. Monitor order status and coordinate with internal departments to support timely fulfillment. Ensure a high level of customer service at all times. Demonstrate professional email etiquette and provide customer service through email and telephone communications. Review supporting documentation and verify warranty eligibility in accordance with company policies. Process Return Merchandise Authorizations (RMAs), warranty claims, and customer credits accurately and efficiently. Communicate order status, return requirements, warranty status, and claim updates to dealers, customers, and internal departments. Organize information for presentation as digital forms and reports. Maintain accurate customer, order, warranty, and return records within company systems. Maintain an organized environment and present information in a logical sequence. Set or modify priorities to accomplish short- and long-term objectives. Utilize a variety of tools to provide visual representations of transactional data. Collaborate with internal departments such as Sales, Operations, Service/Technical Support, Quality, Engineering, and Accounting as required. Review current processes on a regular basis and implement improvements as required. Assist with process improvement, automation, and AI-driven productivity initiatives as directed. Complete special projects and administrative duties as required. Perform other job-related responsibilities and functions as directed by Management. Computer Skills: Proficient with Microsoft Excel, Outlook, Word, Teams, and other Microsoft Office applications. Proficient on company-provided hardware and software. Ability to learn and effectively utilize ERP systems, reporting tools, and AI-powered productivity technologies to improve efficiency, accuracy, customer service, and workflow management. Strong data entry, organizational, and attention-to-detail skills required. Reasoning Ability: Ability to apply common sense understanding to carry out instructions in written, oral, or diagram form. Ability to problem solve with several concrete variables in standardized situations. Education and/or Experience: High School Diploma or general education degree (GED); or one to three years related experience and/or training in order entry, customer service, administrative support, warranty administration, logistics, operations, or a related field; or an equivalent combination of education and experience. Language Skills: Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
