Returns Processing Specialist

Thoroughbred Diesel is looking for a dependable, detail-oriented Returns Processing Specialist to join our Cores Department. This position is responsible for processing customer refunds and credits, reviewing return transactions, maintaining accurate records, and assisting customers with return-related questions. Our Cores Department manages the return and credit process for automotive parts that require refundable core deposits. This is primarily an office-based position involving customer service, data entry, transaction processing, and administrative support. We're looking for someone who is organized, comfortable working with numbers, proficient in Microsoft Excel, and committed to accuracy. Previous automotive or diesel industry experience is not required. Key Responsibilities Answer incoming phone calls and assist customers with questions regarding core returns, refunds, charges, and credits. Process customer refunds, credits, and core-related transactions accurately and efficiently. Review, reconcile, and close out return transactions while ensuring all records and documentation are complete. Perform data entry and maintain accurate transaction records using Microsoft Excel and internal business systems. Track core returns, outstanding transactions, and customer refund statuses. Identify transaction discrepancies and work to resolve issues involving returns, charges, and credits. Communicate professionally with customers, vendors, and internal departments to resolve return-related questions. Maintain organized electronic and physical records. Follow established department procedures to ensure timely and accurate transaction processing. Assist with additional administrative and department responsibilities as needed. Qualifications and Requirements Proficiency in Microsoft Excel and general computer applications. Strong data entry skills with excellent attention to detail and accuracy. Good customer service and telephone communication skills. Strong organizational and time management abilities. Basic math skills and comfort working with refunds, credits, and financial transactions. Ability to multitask, prioritize assignments, and work independently. Strong problem-solving skills and the ability to identify and resolve discrepancies. Dependable, professional, and willing to learn new processes and systems. Preferred Experience Previous experience in returns processing, customer service, administrative support, data entry, or transaction processing. Experience handling customer refunds, credits, or account reconciliations. Familiarity with inventory management or order processing systems. Experience in retail, e-commerce, automotive parts, wholesale, or distribution environments. Physical Requirements and Work Environment Primarily an office-based position within an automotive parts and distribution environment. Occasional exposure to oil, grease, dirt, and automotive components. Ability to lift and move items weighing up to 75 pounds as needed, using appropriate assistance or equipment when necessary. Ability to maintain a clean, organized, and safe work environment.
