Receiving Coordinator Location: Berlin, MD, 21811 Summary The Receiving Coordinator is responsible for the accurate receipt, inspection, documentation, and coordination of all incoming raw materials, packaging supplies, ingredients, and other products used within the food manufacturing facility. This position serves as a key link between suppliers, warehouse operations, quality assurance, production, and inventory control to ensure materials are received safely, accurately, and in compliance with food safety regulations and company standards. Essential Duties and Responsibilities Receive and verify all inbound shipments against purchase orders, bills of lading, packing slips, and other shipping documentation. Inspect incoming materials for quantity, quality, temperature requirements, damage, and compliance with food safety standards. Coordinate with Quality Assurance to place materials on hold, release product, or address quality concerns. Enter receiving transactions accurately into the ERP, WMS, or inventory management system. Maintain accurate inventory records and assist with inventory audits and cycle counts. Label and organize received materials according to FIFO (First In, First Out) and FEFO (First Expired, First Out) procedures. Communicate shortages, discrepancies, damaged goods, and supplier issues to Purchasing and Management. Schedule and coordinate delivery appointments with carriers and suppliers when required. Ensure proper storage and movement of materials within the warehouse and production areas. Maintain receiving logs, certificates of analysis (COAs), temperature records, and other required documentation. Support regulatory compliance with FDA, USDA, HACCP, GMP, SQF/BRC, and company food safety programs. Monitor dock activities to ensure safe loading and unloading practices. Assist with shipping, inventory, and warehouse operations as needed. Participate in continuous improvement initiatives focused on inventory accuracy, efficiency, and food safety. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Knowledge of FDA regulations, GMPs, HACCP, and food safety requirements. Forklift certification or ability to become certified. Bilingual English/Spanish preferred. High School Diploma or GED required. 2+ years of receiving, warehouse, inventory control, or logistics experience. Experience in food manufacturing, food distribution, or a regulated manufacturing environment preferred. Working knowledge of inventory management systems, ERP software, and Microsoft Office. Strong organizational and recordkeeping skills. Ability to read and interpret shipping and receiving documentation. Excellent communication and problem-solving abilities. Ability to work in a fast-paced environment and manage multiple priorities.
