SUMMARY JOB DESCRIPTION: As the primary point of contact and 'voice' of CFS, the Quote & Order Administrator manages daily customer communications via phone and email while executing accurate price quotations and order entry. This role accepts customer purchase orders and follows CFS Standard Operating Procedures to seamlessly enter data into our Accounting and Production systems. Additionally, the Administrator places purchase orders with suppliers for fulfillment and stock replenishment, while managing RMAs for customer returns and repairs. A positive attitude, excellent interpersonal skills, and a strong commitment to exceptional customer service are essential for success in this position. CORE RESPONSIBILITIES: Order Processing & Customer Service Manage standard and custom part quotes, sales orders, repair requests, and Return Merchandise Authorizations (RMAs) from initial request to final delivery. Serve as a primary point of contact for clients, providing clear updates on pricing, lead times, order confirmations, and potential delays. Generate sales order acknowledgments and conduct rigorous quality cross-checks against customer Purchase Orders (POs) to guarantee data accuracy. Maintain complete, well-organized customer records while resolving inquiries and concerns with a professional, customer-focused approach. Process multi-contract renewal quotes, as well as help desk ticket billing. Execute daily workflow tasks in strict compliance with established company SOPs. Inventory Management & Interdepartmental Coordination Track and monitor parts inventory levels, placing purchase orders with vendors for specific job fulfillment and stock replenishment. Participate in internal quarterly inventory counts to ensure accurate stock records. Work closely with Sales, Production, and Shipping departments to streamline order flow and ensure on-time delivery. Must-Have Qualifications: Experience: Direct background in customer service, order entry/processing, purchasing, and parts inventory management. Software Proficiency: Intermediate-level skills in Microsoft Excel and Microsoft Outlook are required , as both tools are used heavily on a daily basis. Attention to Detail: Proven track record of high-accuracy data entry and error-free order execution in a deadline-driven environment. Communication Skills: Excellent verbal and written communication abilities with professional phone etiquette. Work Style: Self-motivated, highly organized, and able to multitask effectively within a collaborative team setting. Process Adherence: Demonstrated ability to learn, follow, and maintain operational SOPs. Preferred Qualifications: Experience with Sage Accounting or similar accounting/ERP software. Familiarity with Google Suite applications.
