We are seeking an experienced Quotation and Purchasing Specialist to join the operations team and play a central role in supporting the sales and procurement functions. This position is ideal for someone who enjoys working closely with suppliers, gathering and analyzing pricing information, and preparing accurate, timely quotes for the sales team to present to clients. The successful candidate will be responsible for sourcing products across a diverse range of categories, ensuring competitive pricing, and assisting with purchasing decisions that directly impact the company’s profitability and client satisfaction. This role requires someone who can manage multiple priorities simultaneously, communicate clearly with both internal teams and external suppliers, and take initiative to ensure that all procurement and quotation processes run efficiently and accurately.

Responsibilities

  • Prepare detailed and accurate quotations for clients based on requests from the sales team, ensuring that all product specifications, pricing, and delivery terms are fully verified and clearly communicated.

  • Research and source products from multiple suppliers, negotiate pricing, and maintain ongoing relationships with vendors to secure the best terms and ensure timely availability of stock.

  • Maintain and update pricing databases, catalogs, and product information to provide the sales team with the most current and accurate information for quoting and client presentations.

  • Collaborate closely with sales, operations, and logistics teams to ensure seamless coordination between quotation, order placement, and delivery, proactively addressing any potential issues.

  • Track and follow up on purchase orders, monitor delivery schedules, and work with suppliers to resolve any discrepancies or delays, ensuring that client expectations are consistently met.

  • Evaluate alternative suppliers, products, and pricing options to identify cost-saving opportunities without compromising quality or delivery timelines.

  • Monitor inventory levels, provide input for procurement decisions, and help maintain an optimal balance between stock availability and operational efficiency.

  • Assist in developing and implementing improved processes and tools for the quotation and purchasing workflow to enhance accuracy, efficiency, and overall team productivity.

  • Communicate professionally and effectively with both internal team members and external vendors, maintaining strong working relationships and a high level of trust.

Qualifications

  • A minimum of 3–5 years of experience in quotation preparation, purchasing, procurement, or supply chain management, ideally within the medical supplies, healthcare, or related industry.

  • Proven ability to source products, manage supplier relationships, and negotiate pricing effectively, with a focus on both cost efficiency and quality assurance.

  • Excellent organizational and multitasking skills, with the ability to manage a high volume of requests, deadlines, and priorities simultaneously in a fast-paced environment.

  • Strong attention to detail, analytical abilities, and problem-solving skills to ensure accuracy in pricing, product selection, and documentation.

  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook) and experience using inventory management, ERP, or procurement software to track and manage orders.

  • Effective written and verbal communication skills, with the ability to interact professionally with internal teams, external suppliers, and clients.

  • Highly proactive and self-motivated, capable of anticipating needs and taking initiative without constant supervision.

  • Previous experience supporting a sales team in a fast-moving, operationally complex environment is highly desirable.

  • Ability to adapt to changing business requirements and maintain flexibility while delivering consistent results.

Compensation

Salary range: $65,000 – $80,000 annually, depending on experience and qualifications.
