Purchasing Manager
ConfidentialLocation: Orlando, FL Industry: Art Gallery / Fine Art About the Position We are a growing art gallery representing 40+ artists and operating multiple programs and gallery locations. We are seeking a highly organized, detail-oriented, and proactive Purchaser to manage purchasing, inventory, consignment, product setup, pricing, and the movement of artwork throughout our organization. This is a hands-on position that requires strong attention to detail, excellent follow-up skills, and the ability to coordinate with artists, art consultants, galleries, accounting, sales, shipping, and framing. Key Responsibilities Purchasing & Inventory Manage the purchasing and receiving of artwork from our 40+ artists. Create and maintain accurate inventory records. Enter new artwork/products into our accounting and inventory systems. Assign and maintain accurate wholesale pricing. Track artwork from the time it is received through its final destination. Coordinate transfers of artwork between galleries and locations. Monitor inventory levels and identify pieces that need to be transferred, returned, or replenished. Ensure artwork is properly accounted for and located within our inventory system. Consignment Manage consignment inventory across our various gallery programs and locations. Maintain accurate records of consigned artwork, including quantities, locations, pricing, and status. Coordinate consignment swaps every few months to keep gallery inventory fresh and aligned with each location's needs. Coordinate the return and replacement of consigned artwork. Communicate with artists regarding consignment inventory, new pieces, returns, and exchanges. Ensure all consignment movements are accurately documented. Commissioned Artwork Track the status of commissioned artwork from the time an order is placed through completion and delivery. Communicate with artists to obtain current production and completion updates. Provide timely status updates to our Art Consultants regarding commissioned pieces and expected completion or delivery dates. Follow up on delayed or outstanding commissions and communicate any changes in expected timelines. Maintain accurate records of commissioned artwork and ensure updates are reflected in the appropriate systems. Framing Coordination Monitor artwork that requires framing and ensure pieces are delivered to the framing department in a timely manner. Coordinate with the framing department to track pieces through the framing process. Follow up on artwork that has not yet been transferred or processed. Ensure completed pieces are properly returned to inventory or assigned to their appropriate destination. Product Setup & Pricing Create new products and artwork in our accounting/inventory programs. Assign wholesale prices and maintain accurate product information. Update inventory and pricing information as needed. Identify and resolve discrepancies between physical inventory and system records. Work closely with Accounting to ensure purchasing and inventory information is accurate. Artist & Internal Communication Communicate with artists regarding purchases, inventory, consignment, commissioned artwork, pricing, shipments, and returns. Work closely with Art Consultants, Sales, Accounting, Framing, Shipping, and Gallery Management. Provide Art Consultants with accurate and timely information regarding the status and availability of artwork. Follow up on outstanding orders, missing artwork, transfers, commissions, and inventory discrepancies. Maintain organized records and documentation for each artist. Assist management with inventory, purchasing, commissioned artwork, and consignment reports as needed. Qualifications Previous experience in purchasing, inventory management, operations, retail, or a related field preferred. Art gallery or art industry experience is a plus.
