Purchasing Manager
Hildebran BeddingPosition Summary Allied Home LLC is seeking a Purchasing Manager to take ownership of our Purchasing & Planning department. This person is accountable for getting the right materials, at the right cost, at the right time. This is a hands-on, working manager role: in addition to leading the department's existing two-person team, this person will personally handle day-to-day purchasing work, and will also negotiate with domestic and overseas mills and suppliers, analyze demand to determine what we need and when, and make sure our customers' ship windows are met. We are looking for a dependable leader who takes responsibility for the department's results, follows issues through to resolution, and can be counted on to run the function with minimal oversight. Key Responsibilities Department Leadership · Take ownership of the Purchasing & Planning department, its processes and its results. · Supervise, train and develop the two existing Purchasing/Planning staff; set priorities, assign work and hold the team accountable for accuracy and deadlines. · Conduct regular performance check-ins and annual reviews; build backup coverage so no function depends on one person. · Establish and maintain written procedures for PO creation, item setup, order follow-up and inventory reporting. · Serve as the primary point of contact for the COO on all purchasing, inventory and supply matters. Negotiation & Supplier Management · Negotiate pricing, minimums, payment terms, lead times and delivery commitments with mills and suppliers of raw materials, fabric, fill, fiber, cartons and packaging. · Source and qualify new suppliers; obtain competitive quotes and drive year-over-year cost reductions. · Track supplier performance (on-time delivery, quality, pricing accuracy) and address issues directly with vendors. · Partner with the Quality Team to ensure suppliers meet compliance and quality standards. Timeliness & Order Execution · Ensure all raw material, sample and domestic purchase orders are placed on time and actively followed up through receipt. · Own the open-order book: chase POs, manage shipment release schedules and resolve delays before they affect customers. · Communicate delays and risks to management and Sales early, with a plan to recover. · Ensure customer ship windows are met, including the 24–48 hour ship requirement for ecommerce drop ship. Analysis of Needs & Planning · Analyze sales forecasts, customer projections and sales trends for all items sold by Allied Home. · Review actual inventory against forecasted usage to determine what materials and finished goods are needed, in what quantity and when. · Set inventory targets that balance service levels against cost and cash tied up in stock, including ecommerce drop-ship inventory. · Prepare and present purchasing, inventory and production-planning reports and recommendations to the COO. · Work with Sales, Business Managers, customers and Materials Planning to improve forecast accuracy and optimize inventory levels. · Provide sales history and analytical support for new client implementations. Hands-On Purchasing Duties This is not a purely supervisory role. The Purchasing Manager will personally perform the following tasks as part of their regular workload, sharing them with the team and making sure all are completed accurately and on time: · Mill purchase orders, production sample POs and PO/sales order revisions. · Customer order intake through EDI, email and other channels; sales order entry. · New item setup in ERP (UPC, BOM, pricing) with Business Managers. · Receiving/POD entry and release of PO invoices for local vendors. · Raw material order status updates to factories and management; inventory checks and reporting. Required Qualifications · Minimum 5 years of purchasing, procurement or supply plan…
